Think of PowerPoint’s Presenter View like the cockpit of an aeroplane (or airplane for our American readers!). Like an experienced pilot, you have all the controls you need at your fingertips when you’re navigating your slides, whether you’re presenting online or in person, helping you give a seamless presentation and leave your audience seriously impressed.

Presenter View in PowerPoint works best if you have two monitors. On one monitor, you can display your slides for your audience to see. On the other, you have your own private view (which isn’t visible to your audience), where you can see your notes and the upcoming slide while you’re presenting.

How to start using Presenter View in PowerPoint:

– Open your presentation. – Select Slide Show in the top ribbon. – Make sure Presenter View is selected in the Monitors section. – Choose from the dropdown menu which monitor you want your presentation to appear on. (Presenter View will automatically appear on whichever monitor you don’t choose.) – When you’re ready to start presenting, click From Beginning in the Start Slide Show section of the PowerPoint ribbon, or click the Slide Show icon in the bottom right of the screen, or hit the Alt + F5 keys on your keyboard to start your presentation in Presenter View.

PowerPoint Presenter View’s most useful features (by number!):

  • This is your current slide. This shows you what your audience can see. This should be the same content that is displayed on your other monitor. The timer in the top-left corner lets you keep an eye on how long you’ve spent on the slide so far, helping you to pace your presentation. You can pause or reset the timer using the icons to the right.
  • Here you can see your speaker notes. While we don’t generally recommend that you read out your speaker notes like a script (because it can make you sound like a monotonous robot and make your audience disengage very quickly), it can be useful to have some prompts in the speaker notes so that you know what happens with each mouse click and so that you don’t forget the key points on each slide. You can use the font icons in the bottom left of this panel to make your speaker notes larger or smaller.
  • The tracker shows you how far through your presentation you are. Click the forward or back arrows to navigate to your next or previous animation. Hitting the forward or back keys on your keyboard will do the same thing.
  • This is a preview of your next animation or next slide. This shows you what’s coming up next, which helps you to transition seamlessly from one slide to another.
  • The Pen and laser pointer:  This allows you to write on or highlight a particular part of your slide as you present. Adding ink annotations while you’re presenting won’t change your original slides – you can choose whether to keep or discard your annotations when you end your slide show.
  • The See all slides tool: Click this to view thumbnails of all the slides in your presentation without your audience seeing. This means you can jump straight to a specific slide without flicking through all the slides in between.
  • The Zoom tool:  Use this to magnify a specific part of your slide. This is handy if you need to draw your audience’s attention to a particular detail.
  • The Black or un-black tool:  Use this to blank out the screen the audience sees. This is helpful whenever you want to release your audience’s attention from the slide content and back to you (e.g., during a Q&A). You can choose whether you want the blank screen to be black or white by clicking on the More slide show options icon at the far-right end of the toolbar.
  • Toggle subtitles:  Use this to turn automated subtitles on or off. You can adjust subtitle settings (such as language and where the subtitles appear on your slide) by clicking on the More slide show options icon.
  • Click Show taskbar to open another program on your private monitor. This can be useful if you need to pull up another document without changing what your audience sees.
  • Select Display settings to swap the monitors your slides and Presenter View appear on.
  • Click End slide show when you’ve finished presenting. Hitting the Esc key on your keyboard will also close Slide Show mode and Presenter View.

How to Present a PowerPoint Slideshow (w/ Shortcuts)

There are a variety of ways to start a PowerPoint presention, depending on:

  • Where you start your presentation (from beginning or from current)
  • Which PowerPoint view you prefer to present in (Slide Show view or Presenter view)
  • How comfortable you are with keyboard shortcuts

Why would Microsoft include so many ways to present a presentation? My guess is that everyone learns PowerPoint differently, and has personal presentation styles.  The more options you have, the easier your life will be as there will always be a way to start your presentation the way you want to (or jump back into it when you need to).

NOTE: If you are running two presentations side-by-side, each presentation needs to be started as it’s own slide show. To see how to set up two PowerPoint presentations to run side-by-side like this before you start your slide show, read my guide here .

Start slide show from beginning.

To start a slide show from the beginning, click the Slide Show tab and select From Beginning

To start a slideshow from the beginning of your presentation using the ribbon, simply.

  • Navigate to the  Slide Show tab
  • Select  From Beginning

Selecting  From Beginning  starts your presentation from the very first non-hidden slide in your presentation, regardless of which slide you are currently inside of your deck.

You can also start your slide from the beginning of your presentation by hitting the Slideshow From Beginning keyboard shortcut,  F5 .

Regardless of which method you use, this is the classic way to start your presentation in full screen from your first title slide (regardless of where you are in your slide deck).

Take your PPT skills to the next level

Start slide show from current.

To start a slide show from the current slide, click the Slide Show tab and select From Current Slide

To begin your slide show from the slide you are currently on using the ribbon, simply

  • Navigate to the Slide Show tab
  • Select  From Current Slide

Selecting From Current Slide starts your slide show from whatever slide you are currently on, even if the slide is hidden.

You can also start your slide from the current slide you are on by hitting the  Shift+F5  keyboard shortcut.

Because it’s often easiest to catch errors when building your slides in this full screen mode, I highly recommend learning the  Shift+F5  shortcut and using it frequently as you build your slides to spot them for errors.

If you don’t want to bother learning the From Current Slide shortcut, you can also start your slideshow by clicking the  Slide Show  icon at the bottom of your screen.

This is a fantastic way to spot check your slides as you are building them. On top of that, it’s a fast and uncomplicated way to re-start your presentation from where you left off after demoing something on screen.

Start a mini-slide show in PowerPoint

You can also use the following hidden PowerPoint shortcut to run a mini slide show over the top of your current deck.

To run a mini slide show, simply:

  • Hold down the  Alt key  on your keyboard
  • With your mouse, click the  Slide Show  icon

Doing so starts a small slide show of your presentation that you can see below, from the current slide you are on.

Presenter View

The Presenter View is an alternate way to run your presentation in PowerPoint. In this view, your slides are projected on screen, and the details of your presentation are displayed on your computer as pictured below.

The presenter view includes your next (non-hidden) slides that is coming up, your current slide projected on screen, how long you’ve been talking and your speaker notes.

To run the presenter view from the current slide, click the Slide Show tab, hold the Alt key and click the From Current Slide command

To launch the  Presenter View  from the beginning of your presentation using your Ribbon, simply:

  • Navigate to the  Slide Show  tab
  • Hold down the  Alt key on  your keyboard
  • Click  From Beginning

Holding down the  Alt key  and clicking  From Beginning , the Presenter View will launch from the very first (non-hidden) slide in your presentation.

You can also launch the presenter view from the beginning of your presentation at any time by clicking Alt + F5  on your keyboard.

Start Presenter View in PowerPoint From Current Slide

To start your slide show from the current slide using the presenter view, click the slide show tab, hold the Alt key and click

Did you know that you can access different views in PowerPoint by adding keys as you click commands in the PowerPoint ribbon?

To start the Presenter view from your current slide using your Ribbon, simply:

  • Hold down the Alt key on your keyboard
  • Click  From Current Slide

Holding the Alt key and clicking From Current Slide launches the Presenter View from your current slide. So, this is another way you can quickly practice your presentation, see your speaker notes and see what’s coming up next.

You can also launch the Presenter View from the beginning of your presentation at any time by hitting Alt+F5 on your keyboard.

Showing and Hiding Presenter View

Regardless of which view you start your PowerPoint slide show; you can switch between the two different slide show views without exiting presentation.

To show or hide the Presenter View, right click your slide show and select either show or hide presenter view

To switch between the two slideshow views (while giving your presentation), simply:

  • Right-click your slide in whichever presentation view you are currently in
  • Select either Show Presenter View or Hide Presenter View

When would you use a feature like this during a presentation? One example is if you want to view your notes without leaving the slide show mode.

NOTE: The letter r  for both  Show Presenter View  and  Hide Presenter View  is underlined. This means that it is a keyboard shortcut. So, if you want to quickly flip between these two presentation views, you can simply right-click your slide and hit the letter r on your keyboard. Doing so automatically switches the view you are in.

Controlling how your presentation runs

Another way to control how your presentation runs (including the default laser pointer and pen color), is the Set Up Slide Show dialog box.

Click the slide show tab, and select the Set Up Slide Show command to control how your PowerPoint presentation runs

To open the  Set Up Slide Show  dialog box, simply:

  • Select the  Set Up Slide Show  command

Doing so, opens all your PowerPoint slide show settings and options as pictured below.

Inside the slide show settings dialog box, you can select:

  • How your presentation runs (full screen, window or in kiosk mode).
  • Your default pen and laser pointer color options ( see our laser pointer article here ).
  • Which slide you want start from, or which slides you want to show. You can also setup a custom show here.
  • How your slides progress (manually or using slide timings).
  • Which of your computer monitors (or screens) your slide show runs on.

The  Set Up Slide Show dialog box is also the secret to running multiple presentations at the same time in PowerPoint. To expand your knowledge and learn how to set this up, read our guide here .

Setup Slide Show SECRET Shortcut

Hold the Shift key and click the reading view icon to open the set up slide show dialog box

To use the SECRET shortcut to open the Set Up Slide Show dialog box, simply:

  • Hold down the Shift key on your keyboard
  • With your mouse, click the Reading View icon at the bottom of your screen

This is useful when you need to quickly cycle through lots of PowerPoint presentations and change how those presentations run. Instead of wasting time clicking through the Ribbon, simply hold the Shift key and click the  Reading View icon. This is also a friendly conversation starter with a fellow PowerPoint enthusiast at Happy Hour.

NOTE: The color of your Reading View icon might be different than in the picture above, as it is dependent on the Office Theme you selected for PowerPoint.

How to exit a PowerPoint presentation early?

Hit the escape key to exit slide show mode in PowerPoint

Regardless of how you start your full screen presentation, you can end your presentation at any time by hitting the Esc key on your keyboard.

Hitting  Esc  immediately takes you out of the   PowerPoint presentation mode and back to the normal editing view of your slides, on whatever slide you were last presenting.

Here is how you can use a combination of all the different keyboard shortcuts to spot check and practice your presentation in full screen before you finalize your presentation.

  • Hit  F5  on your keyboard to   start your presentation in full screen from the very first slide in your presentation. You can then use your arrow keys to advance, spot checking your slides for errors.
  • When you find an error, simply hit  Esc  key to return to the normal PowerPoint editing view to fix your slide.
  • When you are done, hit  Shift + F5  to return the full screen presentation mode from the slide you just updated. You can then continue spot checking your presentation (without having to start over from the beginning).

In this way you can quickly work your way through your slides and practice your presentation, fixing and adjusting your content as you go.

Understanding how to run your presentations is CRITICAL to the success of your presentation. Not only in presenting them live, but also in knowing how to spot check your slides as you build them.

I personally find it easiest to spot check your slides and quickly fix errors by running your presentation in slide show mode (or full screen). The last place you want to discover an error is during your presentation.

Using the commands and shortcuts above, you can quickly start, exit and step back into your slide show. Once you have these commands and features down, you will also look like a whiz during your presentations.

This is a view that you'll see on your own screen while giving a presentation using PowerPoint. While the audience will see the presentation on the projector or big screen, you'll have your own private view on a second monitor.

This feature is like a cockpit for giving presentations. You'll keep all the most important controls front and center while presenting.

PowerPoint Presenter View gives you at least four essential tools that make presenting your slideshow more comfortable:

  • In Presenter View , this display keeps your  speaker notes  in view to reference while speaking.
  • You'll see a thumbnail for the next slide to begin preparing for your next key point, and you can jump to other slides quickly.
  • A timekeeping tool helps you track how long you've been speaking to ensure you don't overrun any time limits.
  • Drawing tools allow you to add illustrations on screen while presenting to draw attention to specific parts of your slides.

You need every advantage you can get when it's time to give a presentation. In this tutorial, you'll learn how to make the most out of Presenter View in PowerPoint.

In this tutorial, I'm going to focus on an underused feature of PowerPoint: Presenter View. 

How to Present a PowerPoint Slideshow With Presenter View (Video)

In this video, I'll teach you how to get started with Presenter View in PowerPoint. You'll learn how to enable Presenter View and then use the tools inside of it. I'll teach you to use the special Presenter View features to keep your notes and tools close, that way you can present more confidently.

Turn On PowerPoint Presenter View

In PowerPoint for macOS, simply click on  Presenter View  on the  Slide Show  tab to kick off the presentation in Presenter view .

You'll see the Presenter View interface on one screen. The other display will show the "audience version" of the presentation. In other words, it shows what they'll see on a projector screen, or even their own display. 

How to Make the Most of Presenter View

Let's dive into some of my favorite features that Presenter View brings to the table. Using even one of these is reason enough to try out Presenter View in PowerPoint. But when you combine them together, it's a no-brainer.

This is how to use Presenter View on PowerPoint. But the real question is why to use presenter mode PowerPoint. The reason is twofold:

  • It helps your slides look better.
  • It keeps you organized.

You can share neat, uncluttered slides that aren’t packed with content. That’s because you can keep your supporting content to yourself.

Now, let’s learn how to use Presenter View in PowerPoint fast!

1. Speaker Notes

Speaker Notes is a top feature that works best with Presenter View in PowerPoint. Many presenters will spend time filling out cards or scribbling ideas onto paper. But it's much easier to add them directly into your PowerPoint file.

To add Speaker Notes to a presentation, start off by working in Normal view on PowerPoint's View tab. At the bottom of your screen, you can click on Notes to open up the Speaker Notes section and add your own text.

How to present on PowerPoint

Speaker Notes and Presenter View go hand in hand. When you're in Presenter View , your speaker notes will show up on the right side of your screen. You can adjust the text size with the icons near the lower right corner.

Speaker Notes show how to use Presenter View in PowerPoint to your advantage. They help keep you on track as you present on your key topics.

Speaker Notes are important because they avoid the potential of you reading off your slides. Why? Because you don’t have to commit every key detail to memory! You can engage with your audience, all while referring to pre-built notes that they’ll never see.

2. Slide Previews

Let’s face it: you might be sharing a presentation with dozens of different slides inside. When you know how to put PowerPoint in presentation mode, you can get a sneak preview as you present. It’s easy to forget exactly how you sequenced slides together.

With Presenter View , you can stop guessing. That’s because you’ll always have a preview of the next slide in your deck.

As you work in Presenter View in PowerPoint, notice the slide thumbnail in the upper right corner. It’s labeled Next Slide , and that’s exactly what you’re seeing. This helps you transition smoothly from slide to slide. Often, you may set up some closing narration on one slide to help introduce the next. Guesswork and delays are gone, thanks to using Presenter View in PowerPoint.

Knowing how to present on PowerPoint involves keeping slides in a logical order. That means that on occasion, your next slide should no longer be the next one in line. Presenter View helps you handle this situation.

Across the bottom of the view is a filmstrip of every slide’s thumbnail. You can scroll through it and click on any slide to jump directly to it.

This way, you can jump around in your slide deck without your audience ever knowing it! This helps you drive the flow of your slide deck in real time, with no interruptions or distractions. 

3. Drawing Tools

Like sports commentators do during a broadcast, you can use drawing tools to draw on top of your slides. This is perfect if you've got a tablet for example, but the feature works well for computer users with a mouse too.

To enter the drawing tools, you can click on the icon shown in the PowerPoint screenshot below. This turns on the tools you need to add highlights and annotations to the selected slide.

Annotations are great if you want to call out key details in real time. You can highlight, mark up, or circle any element on a slide. This is how to use Presenter View in PowerPoint in a live environment. You can use it to capture audience attention and focus on details as your narrative flows. 

How to use presenter view on PowerPoint

Choose from tools like the Laser Pointer, Pen, and Highlighter to add annotations to a slide. A laser pointer is a digital version of the popular tool used to draw attention to parts of a slide.

The Pen and Highlighter tools will actually add new marks on top of the slide that your audience will see. 

4. Timekeeping

This feature is straightforward to use, but I can't stress enough how helpful it is. Nothing is worse than giving a presentation and realizing that you used only half of the time. Or that you went far over the time limit.

In Presenter View , you'll see a feature that keeps time above the current slide thumbnail. You can pause this feature with the Pause button or reset the counter with the icon on the far right. But often, it's best to leave it running. This keeps you on pace, on track, and focused on your message.

Plus, this is how to put PowerPoint in presentation mode to work for you. At a glance, you can see how much time you have left. This may encourage you to speed up your dialogue. Or it may afford you extra time to expound on a key point or new supporting detail. 

I can think of many times when this feature would have been a big help during presentations in college. When you're graded or judged based upon your runtime, it's a great idea to keep that time total in view.

5. Navigate Effortlessly with Keyboard Shortcuts

Presenter mode PowerPoint presentations are easy to navigate. That’s because they work well with a variety of keyboard shortcuts. By using these shortcuts, you can see how to present on PowerPoint efficiently.

Presenter View offers an array of keyboard and mouse shortcuts that you can use as you present. Again, your audience won’t notice this. 

For a look at them, click on the Tips button in the upper left corner of Presenter View . You’ll see a complete cheat sheet of shortcuts listed. Refer to it often and use these tips to navigate through your slides.

One of the most common mistakes people make is undermining the importance of the first few minutes or seconds of their presentation. 

Let’s say you’ve practiced your key talking points meticulously and gone over your slides a million times, but when you’re in the spotlight and need to say your first line, do you know exactly what to say to wow the audience? 

The start of your presentation is crucial. Not only because how you start sets the tone for the rest of your presentation, but also because people generally require around 8 seconds to decide whether they find the subject interesting enough to keep listening. #2 Work on your body language

Keeping your presentation visuals minimalistic, simple, and clear is just one important step to remember when designing a hit presentation. Leaving nothing to chance, great presenters prove quite methodical as they prepare. Here’s a checklist for everything you need to keep in mind before your next presentation:

1. Choose the right software for your needs

The easiest way to select the right presentation software for you is to simply find the one that is native to your device. For example, if you have a Mac, use Apple Keynote, if you work on Windows, use PowerPoint. Google Slides is recommended if you’re working with someone, as it makes collaboration very easy. Another software option is Prezi: a specialty tool called Prezi that creates a presentation using motion, zoom, and panning across one giant visual space.

2. Organize your files

As you develop your script and visuals, you will need to start assembling all the assets for your slides. Create a unique folder on your computer to hold these items. Keep the folder organized by media type (presentation drafts, photos, videos, scripts) and back them up frequently to the Cloud or external disk. Label each file with a specific descriptive name, e.g. “Susan Johnson singing magpie 2020”, as opposed to “IMG_4043.jpg”, which can make it confusing to find your assets. The more organized you are up front, the easier preparing for your presentation will be.

3. Prepare your presentation materials

Make sure your presentation materials (script, graphics, actual slides) are saved in at least two safe spots (for example, your computer and an external USB drive) and are backed-up frequently. If you are using an online presentation software, such as Google Slides, be sure to also download a copy of your presentation in case the internet connection is unreliable. Having all the individual assets on hand in addition to your presentation slides can be helpful if you experience tech issues before presenting, or if you need to make any last minute changes. Make sure to label your final presentation with the title and your name so it’s easy to find.

4. Practice, practice, practice!

Remember, practice makes perfect. People often run out of time making their presentations and have no time to practice. Most TED speakers practice at least ten times. Neuroscientist Jill-Bolte Taylor gave one of the most successful Talks in TED history with nearly 27 million views. How did she do it? She practiced her Talk over 40 times! By rehearsing multiple times you will naturally memorize your Talk, which means you won’t need note cards when you give your final presentation.

5. Do a final test run

Before presenting, make sure the equipment you need is working properly. It’s generally good practice to rehearse standing on the exact stage with the exact lighting using the exact computer that you will be using in your final presentation.

Here’s a quick checklist of what to look for when testing your equipment:

  • If you're not using your own computer, the one provided might be slower and have trouble playing media. If you have videos or other media, make sure they play correctly
  • Test the projector to make sure it’s HD
  • Make sure images are clear
  • Test the sound of any clips you use, as this is what goes wrong most frequently
  • If you’re using a mic, test the volume

Don’t let technical issues or other blunders overshadow your presentation. By following these guidelines, and with a little preparation, you can engineer out the problems BEFORE they happen.

Giving a presentation can be stressful. There are just too many balls to keep in the air: an effective opening, audience engagement, body language, visual aids, anxiety management. The list goes on. 

On a positive note, public speaking and presentation skills can be learned and refined. That’s why we put together a list of 14 dos and don’ts that will help you deliver a killer presentation. Focus on the Key Message

From the very beginning, the audience should feel that your speech is leading to something important. This is what will spark their curiosity and keep their attention focused. 

Of course, to achieve such an effect, you should actually have something important to communicate. Otherwise, your audience will feel like they wasted their time (and would be right to think so). The material you present should resemble an arrow with a clear point, not an unending loop of words that leads to nowhere. 

But having something worth telling is only part of the job. You also need to make sure that your entire presentation is woven around that key idea. From beginning to end, your core message should be your guiding light. Each sentence should move the audience closer to it, and by the end of the speech, leave them with a sense of illumination.

Plan the Structure

Planning your speech beforehand is the only way to avoid getting sidetracked. As you think about your message, try to structure it in a way that makes its delivery most effective for the audience.

So, how do you structure a presentation? Consider both the logical and emotional implications of your structure. First, you want to give your listeners enough background information to help them get better acquainted with the topic, but not so much as to get them bored. Once all the need-to-knows are out of the way, make a seamless transition to your main message and start laying out your arguments in a convincing way.

Also, think about the emotional effect you want to achieve in each part of your presentation. The best way to go about it is to capture your audience’s attention right off the bat, which is often considered to be the hardest part of giving a presentation.

“How do I begin a presentation?” is a question you’ve surely asked yourself.  Once you’re done introducing yourself, you can jump into the presentation with a story or an intriguing question. Then, build suspense throughout the speech and release it at the end with a well-grounded closing statement.

Tell a Story

How do you present a topic? As human beings, we’re attracted to stories. This is why we go to the movies, read fiction and, yes, become all ears when hearing gossip. Thus, it’s always a good idea to begin your presentation with a story or even spice it up with one in the middle. This can make all the difference between an engaged and indifferent audience.

Keep a Conversational Tone

Many first-time public speakers try a bit too hard to make their speech expressive. As a result, their presentations appear showy and even pompous to the audience.

To prevent this, simply use a conversational tone. Feel like you are communicating your message to individual people, rather than a large alien audience. This will not only ease you up but will help the audience connect to you as well. 

After all, when you really look at it, you are talking to individual people, not their aggregation.

Time your speech.

There’s probably a specific timeframe within which you should complete your speech. Even if it’s not rigidly set, the audience will have certain expectations as to how long your presentation will take. 

Therefore, it’s important to plan beforehand the approximate time your speech should take and set a timer during rehearsals. If your presentation lasts longer than expected, make sure to leave the inessential parts out. 

As you memorize your material, your speech will get smoother and faster. This will also shorten the time required for it. Thus, before making any adjustments to the length of your script, rehearse it a few times.

Practice your speech as many times as necessary to build confidence. This is not to say you should memorize every single word or sentence, but you should know exactly what you need to cover at every point.

Perhaps, the worst thing you can do during a presentation is to read your script. Even glancing at a paper or screen far too many times is distracting enough. What’s more, your audience will find it difficult to connect to your message, as it will all feel mechanical and staged.

The solution? It’s fairly simple: rehearse, rehearse, rehearse.

Don’t Rely on Slides

A slide should never be the main source of information for the audience. Use it as a mere extension that makes your speech more engaging or credible. Always keep in mind that your audience needs to learn from you , the speaker, not from your slide.

It goes without saying that you shouldn’t stuff any slide with text. Or include so much information (whether textual or visual) that your audience gets overwhelmed and stops following your speech. When it comes to slide design, minimalism is your best friend. 

To know if you’re relying heavily on your slides or not, ask yourself this question: “Will my presentation still make sense without the slides?” If the answer’s no, then you should rethink your script. But, there’s also a fun side to this. When you free your slides of the burden to inform, they can now be used creatively and even enhance the effect of your speech.

Notice how the presenter in the video shown above only turns to slides to highlight or demonstrate a point she made. And if you remove all the slides? The presentation will be just as complete and impactful.

Don’t Use Fancy Slideshows

How a good presentation should look like? Nowadays, there are lots of advanced presentation software and screen-sharing tools one can use to “wow” the audience. The problem with them? “Wowing” your audience with something as trivial as slides is hardly why you’re making your speech. The fewer distractions there are in your presentation, the better. Keep this in mind, and avoid using anything showy. 

Don’t Talk Too Fast (or Slow)

While presenting, it’s recommended to maintain a consistent pace that’s neither too fast nor too slow. Talking fast might cause unnecessary tension in the audience, and excessively slow speech is sure to annoy them.

While different people naturally speak at different paces, it’s still something that can be worked on and modified with enough practice. You can refine your pacing during rehearsals until the preferred pace is second nature to you.

Don’t Forget Backup Slides

You’re about to start your presentation, but the internet connection is too slow, and your slides won’t load. On top of it, you didn’t follow our advice about not relying on slideshows. What do you do?

Well, if you’re considerate enough, you will have a USB flash drive with backup slides. Next time you feel like forgoing this little step, recall this scenario.

Don’t Neglect Body Language

The way you move your body on stage tells a story. And if that story is incoherent with the one you’re telling with your words, disharmony arises. Imagine a speaker is talking about peace and tolerance, yet their every movement is abrupt, hasty, and aggressive. Sure, this might be the result of nervousness, but would you still be able to connect to their message? The answer’s likely to be no.   

When rehearsing your speech, don’t neglect body language. Practice standing tall, keeping your hands open, and your movements relaxed. Avoid pacing on the stage during your presentation, as it may distract or, worse yet, annoy your listeners.

There's more to life than being happy

And, of course, don’t skip eye contact. Instead of glancing over the entire audience, pick a few individuals from different parts of the room, and establish your eye contact with them. This little trick will help you feel like you’re speaking to one person at a time. And that’s far more manageable than speaking to everyone at once.

To emphasize a point, sometimes, what you need is not words but their absence. Take a pause after you ask a question or make a strong statement. Spare your audience a moment to think, reflect, and ponder. Or leave a gap of silence right before you present something exciting to build suspense and anticipation.

No one expects you to go on talking for 10-15 minutes without a pause. Take a few seconds once in a while to breathe. Draw in deep breaths to collect your thoughts and calm your nerves if the situation calls for it. This is one of the most effective ways to relax when presenting.

You can advance to the next slide by clicking your mouse or pressing the spacebar on your keyboard. You can also use the arrow keys on your keyboard to move forward or backward through the presentation. You can also hover your mouse over the bottom-left and use the commands there to navigate the presentation.

Tips for presenting

Before presenting your slide show, think about any preparations you need to make, like setting up the necessary equipment and rehearsing your presentation. Being prepared can help your presentation become more engaging and professional.

  • Review your presentation to catch any errors, and rehearse how you will present it. Don't just read from the slides, but use them to highlight your main points.
  • Think about the type of equipment that will be available for your presentation. If you will be using a projector or a network connection, ensure they are set up and connected before your presentation begins.
  • If you are presenting with notes, make sure they are only visible to you. If the monitor settings have a mirroring option, you may need to disable it.
  • Open our example file . Make sure you're signed in to Google, then click File > Make a copy .
  • Play your slideshow using presenter view if it's available. If not, try presenting from the beginning .
  • Use different methods to move forward and backward between the slides. For example, try using the spacebar to move forward and the left arrow to move back to the previous slide.

1 Rehearse What You’re Planning To Say

Before you even give a good presentation, you need to prepare.

This part has two steps – to rehearse what you’re going to say and to prepare yourself mentally and emotionally. These two tips go hand in hand, but we’ll explain what each one is about individually.

Notice that we didn’t say “memorize your presentation.” There’s a big difference between memorizing a speech and practicing telling a story. The difference is that a memorized speech can end up sounding robot-like and practiced storytelling sounds effortless. 

You’ll be better off if you have at least a rough outline of your slides before you start rehearsing.

Section 1, Pause, Section 2, Pause, Repeat

Rehearse what you’re planning to say during your presentation by using a written outline, index cards, printed out versions of your presentation slides or whatever works for you.

Create some mnemonic tools into your presentation to help you remember what comes next. For some people, this comes as second nature and is easy. For others, it can become convoluted and cause you to overthink things. 

Try out a variety of different techniques until you find the one you feel the most comfortable and confident with.

Ask For Feedback

For better results and to know if you’re improving, record yourself or ask someone to watch you.  Ask them to give you honest feedback. Don’t accept feedback like “that was great.” Insist they go into the details. Offer them a pen and paper to take notes as you present.

It’s highly likely that you’ve already had to give presentations before, most probably at school. But let’s be honest, a classroom and a TED stage are a little different. So is an online summit via Zoom, which as you know are even more common now!

Let’s get one thing straight, though. We’re not talking about just any presentation here – we’re talking high stakes, high-quality presentations.

Preparing yourself mentally and emotionally for a weekly sales report meeting is not as important as doing so for one that will be in front of thousands of people and recorded for posterity.

This tip includes mental, emotional and technical preparation. Let’s focus on each one.

Mental Preparation

While you’re rehearsing the outline and general speech for your presentation, notice the times when you feel like things flow and when they don’t. 

Why do you think that’s happening?

On the other hand, if you’re having trouble, maybe the content is still new to you. You might need to do a little more research to feel more knowledgeable about that topic. If you are unsure, you might completely forget what you had to say next during the presentation.

Emotional Preparation

Not everyone needs to get emotionally prepared before a presentation. Conscientious rehearsing can usually be enough. But not everyone is the same. 

Many people that suffer from glossophobia or the fear of public speaking. Some have anxiety or social anxiety and just being close to that many people is difficult for them. Many successful speakers used to be riddled by fear before their first few presentations. 

Some of them still are, every single time. The difference is that they have learned how to manage their fear and lean into it. As soon as they step on the stage, the fear and anxiety melt away and all the rehearsing and practicing take over. 

To get emotionally prepared, you can try some mindfulness exercises and relaxation techniques. 

Wear clothes that make you feel powerful and confident. Try doing the power pose and high five some people before you go on stage. Sing your favorite song and have a little quick uplifting dance. 

Technical Preparation

You might be wondering what technical things you need to give a good presentation. It’s all in the details. 

Regardless if you’ll be speaking in a venue or an online summit, you have to test all technicalities.

If you’ll be speaking in a venue, visit the space and stand in the place where you’ll speak. Have a look around and pinpoint some elements or aspects that make you comfortable.

If there’s anything that bothers you, like a weird smell or a column in the middle of the room, think of ways to overcome that. 

Always ask to test the technical aspects in the room. Connect your computer or tablet to their system to check if your slides will look good with their setup. Also, test the audio. These detailed checks might not always be possible but it doesn’t hurt to ask.

If your presentation will be online, test all your tech beforehand. Locate a spot with the strongest wifi or hardwire your computer to the router.

Check your background and the lighting. Organize with housemates or family for some quiet time during the time of your presentation.

Information on other active and pending support may be requested (often as part of Just-in-Time procedures for grant applications or in progress reports) to ensure there is no scientific, budgetary, or commitment overlap. “Other Support” is sometimes referred to as “current and pending support” or “active and pending support.” Find instructions, blank format pages, and sample Other Support documents below.

Other Support includes all resources made available to a researcher in support of and/or related to all of their research endeavors, regardless of whether or not they have monetary value and regardless of whether they are based at the institution the researcher identifies for the current grant. This includes but is not limited to:

  • Resources and/or financial support from all foreign and domestic entities, that are available to the researcher. This includes but is not limited to, financial support for laboratory personnel, and provision of high-value materials that are not freely available (e.g., biologics, chemical, model systems, technology, etc.). Institutional resources, such as core facilities or shared equipment that are made broadly available, should not be included in Other Support, but rather listed under Facilities and Other Resources.
  • Consulting agreements, when the PD/PI or other senior/key personnel will be conducting research as part of the consulting activities. Non-research consulting activities are not Other Support.
  • In-kind contributions, e.g. office/laboratory space, equipment, supplies, or employees or students supported by an outside source. If the time commitment or dollar value of the in-kind contribution is not readily ascertainable, the recipient must provide reasonable estimates.

Other support does not include training awards, prizes, or gifts. Gifts are resources provided where there is no expectation of anything (e.g. time, services, specific research activities, money, etc.) in return. An item or service given with the expectation of an associated time commitment is not a gift and is instead an in-kind contribution and must be reported as such.

Other Support information is requested for:

  • Program Directors, training faculty, and other individuals involved in the oversight of training grants
  • Individuals categorized as Other Significant Contributors

Updated Requirements for Recipients ( NOT-OD-21-073 ): Effective January 25, 2022, NIH requires the following:

  • Supporting documentation, which includes copies of contracts/agreements specific to senior/key-personnel foreign appointments and/or employment with a foreign institution for all foreign activities and resources that are reported in Other Support. If the contracts/agreements are not in English, recipients must provide translated copies. 
  • Immediate notification of undisclosed Other Support. When a recipient organization discovers that a PI or other Senior/Key personnel on an active NIH grant failed to disclose Other Support information outside of Just-in-Time or the RPPR, as applicable, the recipient must submit updated Other Support to the Grants Management Specialist named in the Notice of Award as soon as it becomes known.

Give a PowerPoint Presentation

When you are giving a prepared presentation to a group, you most likely want to control the content, pace, and what’s being shown at all times. Giving a Microsoft PowerPoint presentation is a professional way to give an online presentation. No one can edit the content that you are presenting, but if you choose, other people can mark on it to emphasize a point.

What do you want to do?

Upload a powerpoint file before a scheduled meeting, control who can download your presentation, give a powerpoint presentation, stop showing the presentation, control what others can view while you’re presenting, make everyone a presenter, change presenters during a presentation, annotate a presentation, enable others to annotate, insert an image into your powerpoint presentation, save a copy of the annotated file.

If you’ve scheduled a meeting, you might want to upload your presentation to the meeting before it begins.

Open your meeting from Microsoft Outlook by clicking the Join online or the Join online meeting link in the invitation.

In the meeting window, click Share , and then click PowerPoint Presentation .

Double-click the PowerPoint file that you want to add, and then click Open . When the file has been uploaded and converted for presentation, the slides are shown in the meeting stage area which is to the right of the meeting window.

To keep the focus on what you’re presenting and to avoid distractions, you might want to restrict who can download your presentation or handouts.

After you have uploaded the presentation, in the meeting stage, click the arrow next to Meeting Content or the file name, click the arrow next to your file, point to Make Available to , and then click one of the following:

Meeting Organizer     Allows only the person who schedules the meeting to download the file. You might want to choose this option if you’re doing a presentation and don’t want people in the meeting to have the content before you present it.

Presenters      Allows only presenters to download the file to their computers.

Everyone     Allows the organizer, presenters, and attendees to download the file to their computers.

You can give a PowerPoint presentation that’s already been uploaded to a meeting or browse to a PowerPoint file and start presenting.

Present a PowerPoint file that you have already uploaded to a meeting

In the meeting window, click Share , click Recent Content , and then click the file name.

Present a PowerPoint file that’s not uploaded yet

In the Share PowerPoint dialog box, browse to and double-click the PowerPoint file that you want to present. You might need to allow extra time to upload and convert the file for presentation.

Note:  Whenever you’re actively presenting, your name is followed by Presenting in the list of attendees at the left side of the meeting window.

To stop showing a presentation, do the following:

In the upper corner of the meeting stage, click Stop Presenting .

If you don’t want attendees looking ahead in the presentation, you can lock them to your view. However, other presenters can still look ahead in the presentation.

1. In the meeting window, click Options for people in this conversation button, and then click Meeting Options .

2. In the Online Meeting Options dialog box, under Privileges , in the Separate view privileges , click Presenter Only .

To make everyone in the meeting a presenter, do the following:

In the meeting window, click the Options for people in this conversation button, and then click Meeting Options .

In the Online Meeting Options dialog box, under Presenters , click Everyone including people outside my company (there are no restrictions) .

Presenters can take turns showing PowerPoint slides in a meeting. While one person is presenting, another can skip ahead to a specific place in the presentation or even open a separate file and then start presenting.

2. In the Online Meeting Options dialog box, under Privileges , in the Separate view privileges , make sure that Presenter Only or Everyone is selected.

In the PowerPoint file being presented, click the Show Thumbnails button, click the slide that you want to show, and then click Present My View .

In the meeting window, click Share , click PowerPoint Presentation , and then in the Share PowerPoint dialog box, browse to and double-click the PowerPoint file that you want to present.

Annotating a presentation marks only on the top layer or shared version of a presentation without altering the actual file.

To start writing or drawing on the PowerPoint presentation, use the tools at the bottom of the meeting stage.

To allow meeting participants to write or draw on the PowerPoint slides, do the following:
