Covering Letters

What is a covering letter.

A covering letter is the document that accompanies your CV when you apply for a job.  It is an essential part of any job application which needs to be attention grabbing whilst being concise.  It acts as a personal introduction and gives you the opportunity to explain to an employer why you are the best candidate for the job.

Unlike a CV, which is an overview of your skills, work experience and accomplishments, a covering letter highlights your relevant skills and job experiences and is tailored to the job you are applying for.

How to write a covering letter

A covering letter should include the following:

  • How and why the job interests you
  • Your most relevant skills and experience
  • How your skill sets will benefit the employer
  • Requesting an interview

Basic Structure

A covering letter follows similar structure to a normal letter.

Place your contact information at the top, include a salutation, date and subject – the name of the position (and reference number if applicable).

First paragraph – the introduction should set out why you are applying for the job, state the position you are applying for and where you saw the job advertised.

Second paragraph – show why you are suitable for the job, why you would like to work for this particular company and what you can offer.

Third paragraph – this is about you – here you can include why the job appeals to you and how your relevant qualifications, job experiences and skills match the specific job requirements.  Your covering letter should not be a copy of your CV, instead it should highlight your most notable achievements and then show how these skills can benefit the employer.

Final paragraph – conclude your covering letter by thanking them for their consideration and mention that your CV is attached.  You can indicate that you would be available for an interview and that you are looking forward to receiving their response.

Closing – use ‘Yours sincerely’ if you have used their name, or ‘Yours faithfully’ if you had addressed them as ‘Sir/Madam’. Finally, include your signature and name.

Tips for writing your covering letter

Employers receive lots of job applications so you need to ensure that your letter makes a lasting impression for the right reasons.

Before applying for a job it is important to find out more about a company.  By building up your knowledge it will help you to tailor your covering letter and show your passion for the job and the sector.  You do not have to spend lots of time researching, and you can easily check out their website, Facebook page and online newspaper articles to find out the following:

  • Mission Statement
  • The company and its culture
  • Recent campaigns
  • The sector and any recent news
  • Skills and experience required
  • Areas in which they work

By doing this you can see if their values match your own and, most importantly, if you would like to work for them?

Tailor to the organisation

Each covering letter should be specifically tailored to the company and job that you are applying for.  Read the job description and pick out which of your skills or experiences to highlight.  You can mirror some of the phrases used in the job advert. Use examples to show why you are their ideal candidate.

Never rely on spellcheck to pick up mistakes.  It is easier to spot mistakes if you print out your covering letter and check it for spelling and grammar errors, or ask a friend to proof read it for you.  Make sure your contact details and their company details are correct.  You can also check it using Grammarly .

Presentation is important, so make sure you have formatted your letter properly.  Use the same font and print size that you used for your CV.  Save your letter in a .pdf file extension so that the file is locked and it is easy for an employer to open and read.

Highlight your USPs

USPs are your ‘unique selling points’.  Be positive about your skills and experiences and clearly outline how they meet those requested in the job advert.  This will demonstrate why you are the ideal candidate.

Keep it short

Your covering letter should fit onto a single A4 page.  Remember that employers do not have the time to read a 3,000 word letter, so keep it simple and concise.

What not to include!

  • Spelling mistakes
  • Incorrect information
  • Wage or salary expectations
  • An unprofessional email address
  • Highlighted words, fancy fonts, use of colours or images
  • No moaning!  – do not moan about your previous employer or experiences

And lastly…

You can find lots of examples, and templates, on how to structure and write your covering letter online

Do You Really Need a Job Application Letter?

It is already common knowledge that a resume is one of the most essential items that you need to prepare whenever you plan to apply for a job. However, it is not the only document that can affect the decisions of employers. Aside from a reference letter  written by another person, you can also create another letter that can help you in your application.

A job application letter, or a cover letter , can also greatly impact the way employers look at you as a candidate. If you can create a comprehensive and strategically-formulated cover letter, then you can have higher chances of getting a call for an interview or for the next phases of the recruitment. Here are some of the reasons why we think that making a job application letter should also be prioritized whenever you plan to immerse in the processes of searching and applying for vacant job positions open for employment:

  • A job application letter can help you easily target the demands of the work position. If there are already specifications with the minimum requirements of the job designation, your job application can provide information and instances that are aligned with what the company is looking for. Even if a resume can also do this, a job application letter is actually more thorough as it allows you to be more detailed when discussing your deliverable. You may also see email cover letter examples .
  • A job application letter can make you more desirable as a candidate. This document does not only present your skills and potential. You can also specify the items that you know about the business and its operations. Through this, you can already discuss how you can help the business achieve its goals. If the business can create the perception that you are truly knowledgeable of the specifics of the work position and why you deserve to be hired, then more interest can be given to your application. You may also like business proposal letter examples .
  • A job application letter can market your professional qualifications. The further you explain what employers can expect from you, the more they can have an overview of how you can add value to the business. This is the reason why you have to be strategic when placing information in the job application letter. As much as possible, include information that are highly-related to the work post that you are targeting and those that are directly aligned with the corporate vision, mission and objective of the company.

How to Prepare Yourself Before Writing a Job Application Letter

If you want to receive a job appointment letter at the end of the recruitment process, you have to ensure that all the documents that you will submit during your application are on point. The process of developing the content, discussion flow and format of your job application letter is very important.

Unlike how others think of it, a job application letter is actually not that easy to do. Yes, you can just write a letter about your desire to apply for a particular work position any time of the day. However, the question that you need to answer is whether the document that you have written can make you standout from your competitors or not. This is why you have to take your time when planning how to come up with an impressive job application letter. Here is how you can prepare yourself whenever you are already prepared to create your own job application letter:

  • Understand the task that you have at hand. It is best for you to research about the development of an outstanding job application letter first before making it. The knowledge and thought that you have about this process can make it easier for you to understand what you need to write in the job application letter.
  • Make sure that you will have enough relevant information about your prospective employer and the job position that you would like to be hired for. Being knowledgeable of the brand, operational needs and corporate image of the business can help you associate your skills and other qualifications in a more strategic and targeted manner.
  • Think of how your job application letter can impact your chances of being noticed by employers. We never know how businesses select their new hires. Do they look at the resumes first before browsing through the job application letter, or the other way around Do they base their impressions just on your professional profile or they also keenly observe the other supplementary documents that you present? Knowing that you have developed a professional, complete and presentable job application letter can make you more confident in the processes of application which can further boost your confidence in the next phases of the recruitment.
  • Gather keywords which can be used in the job application letter. These keywords must be related to the industry where the business is a part of, the demands of the work position that you are applying for, the nature of operations of the employer, and the specifics of the daily job functions expected from the work post open for employment. Remember that your job application letter does not need to be technical and full of terms and jargon. However, you should also not forget that it must be informative.

How to Impress Employers Through Your Job Application Letter

Making a job application letter is a task that you need to seriously immerse yourself into. Some people think that a job application letter is not really necessary as a resume can already present the details that the employers would like to know. However, getting higher chances of a callback does not fully rely on providing what employers need to know but also by supplying them with information that can set the standards for the other applicants. This can easily be done through the development of a job application letter that can further elaborate details that a basic resume with a generic format can’t. Listed below are some of the ways on how you can possibly impress employers once they browse through the job application letter that you have submitted. You may also see acknowledgement letter examples & samples.

  • Write the letter in an engaging manner. Ensure that the employers will feel your enthusiasm about the job position that you want to have and the possibility of being a part of the company or the business. You can do this by being aware of the tone and language that you will incorporate in the letter development.
  • Present yourself as a candidate who is not just equipped with all the qualifications needed by the job position, but someone who is willing to learn and consistently wants to excel and improve in his or her chosen craft. This allows the company to have an idea that you have an idea about the business and you have selected to apply there because you believe that the possible employment can result to all parties mutually benefit from and with one another. You may also like employee reference letter samples .
  • Discuss the key requirements of the job position but veer away from presenting those that are already in your resume. There is no need to create a job application letter if you will just repeat what is already in your professional profile. You need to give the employers more insight of who you are and what you can provide the company with if they decide to hire you. You may also check out what is an application letter?
  • Ensure that you can showcase your relevance. List a number of reasons why you are the best candidate for the work position. When stating facts about how your qualifications fit the work description, do not be boastful or overly confident. The discussion must be formal and professional so that you can also make your character shine. Employers do not just look on your professional deliverable as work ethics, character, and adaptability are also important factors that businesses look for in their possible new hires. You might be interested in thank-you letter examples.
  • Focus on the formal letter format and presentation of the job application letter as much as you give focus on the document’s content. Make sure that you will come up with an organized discussion. More so, ensure that you will print the document in a clean and business-appropriate paper. If the company asks you to send it through email, do not forget to check if the job application letter has been attached in your message accordingly. You also have the option to properly format the letter in the body of the actual email.

Content of a Job Application Letter

Think of your job application letter as a business proposal cover letter . The latter is used to present a blueprint or a plan that can help business transactions between corporate and/or business entities take place. The same goes with the usage of a job application letter. What do you want to present to employers? How do you want to be perceived? Do you think the content of the letter is appealing and impressive enough for an employment transaction to take place? If you can confidently answer these items, then you are on the right track.

The completion of the content in your job application letter must be highly considered. Making a comprehensive job application letter can effectively provide you with a lead advantage during the recruitment and selection process. Here are the important information that you need to include in your job application letter:

  • The date when you have written and submitted the job application letter
  • The name of the person to whom the job application letter is for and his or her connection to the company
  • The business name and other information of the company where you are applying
  • A salutation
  • The job position that you are applying for
  • The statement that you are a great fit for the work position
  • The reason why you would like to be hired for the work post by the employer
  • The relation of your professional work experiences and deliverable to your desired work position
  • The supporting details that can further strengthen your qualifications
  • The relevance of your professional expertise to the goals and objective of the business
  • A conclusion that should appeal to the employer
  • A simple statement that you will be more than willing to progress to the next phases of the hiring process
  • A statement that you will be waiting for the response of the employer regarding the matter
  • A message of appreciation for the employer’s effort and time to review your application
  • Your contact information where the employer may reach you in the future
  • A closing remark and your signature

Benefits of Having a Comprehensive and Detailed Job Application Letter

With the stiff competition in different industries, you have to come up with ways and strategies on how you can take a step ahead of other applicants. Always remember that there are limited job opportunities that are targeted by highly-qualified and technically-equipped candidates on a daily basis. Having these in mind can help you prepare better when applying for a job. A job application letter can be one of your strengths during this process. Hence, it is important for you to create this document in the most effective way possible. A few of the benefits that you can have as an applicant if you will create a complete and precise job application letter are as follows:

  • Making a job application letter can help you introduce yourself elaborately. You can highlight your key competencies especially those that are not fully-discussed or even placed in your resume summary statement and within the entirety of your professional profile. With this, the employer can give a higher value to your accomplishments and professional experiences. Doing this can also help you showcase instances and real occurrences where your previous employers were able to benefit from your expertise and the execution of your skills in the actual work environment.
  • Creating a job application letter can make it possible for you to further express yourself. Why have you chosen the business as your first choice for possible employment? Why do you think you deserve to be hired? What kind of professional work do you want to be involved in? These are only a few of the questions that you can precisely and directly answer in a job application letter. Most resumes are constraining when it comes to the information that you need to include due to the format that you need to follow. This is not the case when making a job application letter as this document contains a conversation-like content in a professional setting. You may also see business letter examples .
  • Developing a job application letter can give you the chance to explain the weak areas of your resume. As an example, you can discuss reasons on why you have huge employment gaps or why you decided to resign from one company then to another in a short period of time. However, keep in mind that you should not sound defensive when writing these details as it can also negate the purpose of developing the job application letter which is supposed to impress employers. You may also like reference letter examples.
  • Having a job application letter as an essential part of your application strategy can help your qualifications become more tailored with the job position that you are applying for. If you have a job application letter, then you do not need to change a lot of things in your resume as you can already discuss more details in the application letter. Your professional work experiences may not be directly related to the job position that you want. Through the help of a job application letter, you may present the connection of your previous work assignments to the requirements of the new job position that you are applying for. You may also check out appointment letter examples & samples.

Tips to Follow When Developing a Job Application Letter

Creating an effective Job Application Letter is crucial in the job hunting process. This document, often accompanying your resume, is your opportunity to make a strong first impression. Whether you’re crafting a cover letter or a job application email, there are key elements to include for a professional cover letter. Here’s a guide to help you develop an impactful job application letter:

  • Understand the Purpose : Your job application letter is more than just a formality. It’s a personal introduction and a pitch. It should complement your resume by highlighting your relevant skills and experiences, tailored to the job you’re applying for.
  • Research the Company : Tailoring your letter to the specific company and position is crucial. Show that you have done your homework by mentioning something about the company’s values, culture, or recent achievements.
  • Start Strong : The opening of your professional cover letter sets the tone. Begin with a compelling introduction that grabs the reader’s attention. Mention the position you’re applying for and how you discovered the opening.
  • Highlight Relevant Skills and Experiences : Use the body of your letter to emphasize why you’re the right fit. Focus on experiences and skills that directly relate to the job description . Use specific examples and quantify your achievements where possible.
  • Make it Personal : Avoid generic phrases. Personalize your job application email or letter by reflecting your enthusiasm for the role and explaining why you’re passionate about working for this specific company.
  • Keep it Concise and Clear : Your letter should be easy to read and to the point. Aim for no more than one page. Use short paragraphs and bullet points for easy scanning.
  • Professional Tone and Language : While you want to show your personality, maintain a professional tone. Use formal language and avoid slang or overly casual phrases.
  • Proofread and Edit : Typos and grammatical errors can make a bad impression. Proofread your letter multiple times and consider having someone else review it as well.
  • Closing with a Call to Action : End your letter by thanking the employer for considering your application and express your interest in discussing your candidacy further in an interview.

A well-crafted Job Application Letter is your gateway to capturing the attention of potential employers. By following the outlined tips and emphasizing your unique skills and experiences, you can create a compelling and professional cover letter. How to write an excellent Cover Letter

By Sanday Chongo Kabange

From as early as primary school, most  Zambians learning institutions will always include a component of letter-writing in the curriculum.  Letter-writing may seem a boring subject, but it plays an important role in the workplace. There are several types of letters one may need to write, during the course of one’s career. These include application letters, resignation letters, appointment letters, thank you letters, offer letters and much more.

Since these types of letters carry different content, they are written in different ways. However, the difference in their content does not mean that they do not share some key components. Layout and appearance, for example, are universal components that are found in every letter one writes.

What is a Cover Letter?

When applying for a job, a cover letter should always accompany your CV. The ideal cover letter describes your qualifications, motivation and shows your interest in the job. It should show your best side! This way, you allow the employer to get a brief and positive idea about you.

In the cover letter, do not repeat the information already listed in your CV but instead, include details such as your experience, ability, skills honed, knowledge gained and information related to a particular job.

The general rule is that an application letter must have three parts namely first, second and closing paragraphs.

The first paragraph elaborates what job you are applying for and why you are interested in that particular job.

The second paragraph highlights your qualifications for the job and your interest in that particular organisation. In this paragraph, applicants may use one or two accomplishments to illustrate the skills and experience they might bring to the company. It is initially a brief personal motivation. Also try to communicate your interest in the job, and express your enthusiasm for their product line or services as well.

The third or closing paragraph shows your interest in meeting with the employer to discuss the requirements of the job and your qualifications. This should not repeat what you said in the second paragraph because that is likely to overload your application letter.

Make an impression!

Be brief, concise and clear. Make an excellent impression so that your employer can have a solid basis to evaluate your abilities for a particular job.

How to write an Application letter for Zambian Army Recruitment

Zambian army application format.

a sample of an application letter in zambia

The Cover Letter Application is a tool at the disposal of every applicant, it gives the applicant the ability to engage your employer without been physically present.

A Perfectly written military cover letter can highlight those skills and qualities that you have that make you ideally suited for a career in the military and get their interest right from the start. Most recruiters spend very little time in looking at your documentation so if you don’t manage to write in a concise and attention grabbing manner then your letter will get overlooked.

A cover letter for a military application does not have to be  complicated and difficult to write if you organize yourself and think strategically about what you need to do. Your cover letter is the first thing that the recruiter is likely to read and you need to make a direct impact right from this point before they even look at your resume.

Not including a covering letter will almost certainly guarantee that you will not be considered as it shows a lack of interest as will using a very generic and non personalized letter. The following are some easy to follow tips for writing that effective covering letter:

Steps in writing the best military letter of introduction

Try to address your letter to an actual person, call to find out the name of the hiring manager.

Your opening paragraph should be brief and to the point and needs to cover the following points:

Who you are and what position you are applying for

Where you found out about the position

Brief statement as to why you are Applying, and why this position

Your middle paragraphs need to highlight why you are qualified for a career in the military. This should not be a restating of what is within your resume but a targeted referral back to the job description. This should be 2 to 4 paragraphs each highlighting points that qualify you.

Your opening paragraph should be your strongest and should clearly show what you have to offer the military.

Use examples: don’t say you have leadership skills, show them. Use an example of when and how you used those skills and what the outcome of that event was.

Be enthusiastic but don’t go over the top

Your closing paragraph should restate your interest in the position and summarize why you are such a great applicant. Say that you will follow up your application and also ensure that your contact information is the same as on your resume.

End your letter with a thank you statement.

Proofread your letter very carefully to ensure that your letter contains no mistakes.

Essential Documents for Job Applications in Zambia

zambia country

When applying for a job in Zambia, applicants need to prepare a number of important documents to show their eligibility for the job. First and foremost, a well-written Curriculum Vitae (CV) is essential. This should contain detailed information about the applicant's educational background, work experience, skills, interests, and references. It should be updated and tailored to match the job requirements.

A cover letter is also a crucial document that should accompany the CV. This letter should provide a brief explanation of why the applicant is interested in the job and how they meet the job specifications. It should be clear, concise, and professional, giving insight into the applicant’s personality, motivations, and work ethic.

In addition to these, applicants may also need to provide certified copies of their educational qualifications. These include certificates, diplomas, degrees or any other relevant training. For some positions, proof of professional registration or membership with professional bodies may be required.

Furthermore, it's also important to have a copy of the National Registration Card (NRC) or Passport to verify identity and eligibility to work in Zambia. If the job requires driving, a driver's license may be necessary. In some cases, potential employers may ask for a police clearance certificate to confirm that the applicant does not have a criminal record.

Finally, depending on the nature of the job, some employers may require a medical report to ensure that the applicant is physically and mentally fit for the job. It's always best to check with the potential employer or the job advertisement for specific document requirements.

Optimizing Resume Structure, Formatting, and Photos for the Zambian Job Market

Embarking on a career journey in Zambia can be both exciting and challenging. A crucial step in this process is crafting a well-structured and impeccably formatted resume. The layout of your resume can significantly influence an employer's first impression of you. A professionally structured resume not only showcases your qualifications and experiences but also demonstrates your attention to detail and organizational skills. It provides a clear and concise snapshot of your abilities, thus increasing your chances of succeeding in the competitive Zambian job market.

When formatting your resume for the Zambian job market, consider the following stylistic settings:

  • Fonts: Choose professional and readable fonts like Arial, Times New Roman or Calibri. These fonts are universally accepted and portray a sense of formality and professionalism.
  • Format: Stick to a reverse-chronological format. This is widely accepted in Zambia as it allows employers to see your most recent accomplishments first.
  • Margins: Keep margins between 1 and 1.5 inches. This ensures your content is well-spaced and easy to read.
  • Bullet points: Use bullet points to list your skills, experiences, and accomplishments. This enhances readability and allows employers to quickly scan your qualifications.
  • Separators: Utilize separators like lines or borders to distinguish different sections of your resume. This helps guide the reader's eye and keeps your document organized. ‍

Choosing the right template, font, and color scheme is crucial. Conservative colors like black, navy, or gray are preferred as they convey professionalism. A simple, clean layout is ideal as it allows your qualifications to stand out without distraction.

In the Zambian job market, it's not a common practice to include a photo in your resume unless explicitly requested by the employer. Including a photo may divert attention from your qualifications and may also potentially introduce bias. Therefore, it's best to focus on presenting a well-structured and professionally formatted resume to highlight your skills and experiences.

Unlocking Success in Zambia's Job Market: The Power of a Stellar Resume Header

The header of a resume is of paramount importance in the Zambian market as it should be clearly visible and contain all contact information for easy reference. To create an effective header, start with your last name, followed by your first name. Next, include your profession and the discipline in which you specialize. Follow this with your mailing address, ensuring it's complete and accurate. Then, provide your phone number, making sure to include any necessary area or country codes. Lastly, include your email address, ideally one that appears professional and is checked regularly, to allow potential employers to reach you easily.

Zambia's official language is English. Here is a sample header for a resume:

Understanding the Crucial Role of Experience in Resumes for the Zambian Job Market

The experience section of a CV is particularly vital in the Zambian job market, majorly because it provides potential employers with a snapshot of your skill set and capabilities. It offers potential recruiters an insight into your suitability for the specific job role you are applying to, based on your past roles and achievements.

  • Arrange your work history in a chronological order, starting with your most recent job. This arrangement helps recruiters assess your career progression and the consistency of your professional growth, which is a crucial aspect in the Zambian job market.
  • Always include your contract dates. This provides potential employers with a clear understanding of your commitment and tenure in previous roles, and it gives them an idea of your stability and continuity in employment.
  • Explicitly state your job title in each of your former roles. This gives the employer a direct understanding of your level of responsibilities and the position you held in previous organizations.
  • Use a bulleted list to detail your responsibilities and achievements in each role. This makes it easier for the employer to quickly scan and understand your capabilities.
  • Provide a clear and concise job description for each of your previous roles. This helps potential employers understand the scope of your previous roles and how they align with the job you are applying for.
  • Incorporate key words from the job description into your CV. This not only shows that you have a clear understanding of the job requirements, but also improves your chances of being shortlisted, as many companies in Zambia use software to filter applications based on specific keywords. ‍

Highlighting the Crucial Role of Education in Resumes for the Zambian Job Market

The education section is a crucial part of a CV in the Zambia job market due to several reasons. Many employers in Zambia place significant emphasis on academic qualifications, as they provide a solid benchmark of a candidate's intellectual capacity and discipline. This is particularly true for roles that require specialized knowledge or technical skills, such as positions in the healthcare, engineering, or teaching sectors. Furthermore, in a competitive job environment like Zambia's, the education section can act as a differentiator, setting apart candidates who have undertaken tertiary education or further professional development.

Given the importance of education in the Zambia job market, it is generally advisable to list education early in the CV, especially for recent graduates who may lack extensive work experience. This enables recruiters to quickly assess a candidate's academic qualifications and potential suitability for the role. For instance, a job advertisement for a pharmacist in Lusaka may specify a degree in Pharmacy as a prerequisite; having this information clearly visible near the start of the CV can immediately confirm eligibility. However, there are exceptions to this rule. For seasoned professionals who have obtained significant work experience in their field, it might be more beneficial to highlight their practical experience and achievements first. For example, a candidate applying for a managerial position in a mining company in the Copperbelt Province with over 20 years of experience in the sector might choose to outline their career history before their academic qualifications.

Significance of Highlighting Skills on Resumes for Success in the Zambian Job Market

zambia country

In the Zambian job market, the importance of skills on a resume cannot be overstated. Not only do they provide a concise summary of your capabilities, but they also allow potential employers to quickly gauge your suitability for a given role. Many recruiters will scan a resume for specific skills before deciding whether to read the rest of the document. In a competitive job market such as Zambia, where numerous candidates often vie for a single position, having a well-curated list of relevant skills can significantly enhance your chances of landing an interview.

In terms of what recruiters in Zambia are looking for, it largely depends on the industry and job role. However, some universally sought-after skills include problem-solving, communication, teamwork, and digital literacy. Additionally, with Zambia's economy being largely agricultural and increasingly diversifying into sectors like mining and tourism, skills related to these areas are particularly valuable. For instance, expertise in agricultural technology, mining engineering, or hospitality management would be highly attractive to employers. Also, as Zambia continues to develop, there is a growing demand for skills in emerging sectors like information technology and renewable energy, making these skills highly desirable on a resume.

Below, we will be showcasing a comprehensive list of soft and hard skills that can significantly enhance your resume for the Zambian job market.

Unfortunately, there seems to be a misunderstanding. Zambia has over 70 languages and dialects, with 7 of them being officially recognized. However, the official language of Zambia is English, hence all formal documents, including resumes, are written in English. Therefore, there is no need for translation. Nevertheless, here are examples of soft and hard skills desirable for the Zambian job market:

Soft Skills:

  • Problem-solving capabilities
  • Excellent communication skills
  • Good team player
  • Leadership abilities
  • Adaptability and flexibility
  • Critical thinking
  • Time management skills
  • Emotional intelligence
  • Self-motivation
  • Decision-making skills ‍

Hard Skills:

  • Computer literacy
  • Project management
  • Foreign language proficiency
  • Data analysis
  • Graphic design
  • Digital marketing
  • Financial literacy
  • Coding/programming
  • Machine operation
  • SEO/SEM marketing ‍

Additional Sections to Enhance Your Resume for the Zambian Job Market

Additional headings can be included in a CV to provide further information that may be relevant to the job you are applying for in the Zambian job market. These categories can make your CV stand out by showcasing your unique skills, hobbies, or qualifications. In the Zambian job market, employers look beyond the basic academic qualifications and work experience. They are interested in a holistic view of potential employees, hence the need for additional categories. The two categories I would choose are Languages and Certificates.

The 'Languages' category is crucial in a multicultural and multilingual country like Zambia. The country has over 70 ethnic groups and languages, including Bemba, Nyanja, Tonga, Lozi, Lunda, and Kaonde. If you're multilingual, it can be an added advantage, especially in jobs that require communication with diverse groups of people. It's important to list the languages you're fluent in, and the level of proficiency (reading, writing, speaking) for each. This could set you apart from other candidates, particularly for roles in sales, customer service, or international organizations.

The 'Certificates' category is equally important in a CV for the Zambian job market. This is where you list any professional qualifications or certificates you've acquired that are related to the job you're applying for. For instance, if you're applying for a job in project management, a certificate in project management would be a plus. If you're applying for a job as a safety officer, a certificate in occupational safety and health would be relevant. Certificates show that you're committed to continuous learning and self-improvement, which are traits that employers value.

Enhancing Your Resume for the Zambian Job Market: Key Areas of Improvement

Creating a standout resume is crucial for any job seeker in Zambia. The document should effectively communicate your skills, experience, and value to potential employers. Here are some practical tips specifically tailored to the Zambian job market:

  • Highlight Relevant Skills: Zambian employers tend to focus on skills relevant to the job. Therefore, emphasize your skills that align with the job description you are applying for. ‍
  • Include Voluntary Work: If you have done any voluntary work or internships, make sure to include them. In Zambia, employers value community involvement and hands-on experience. ‍
  • Showcase Language Proficiency: Zambia is a multilingual country. If you speak more than one language, highlight this on your resume. It could give you an edge, especially in jobs requiring communication with diverse clients. ‍
  • Use a Professional Email Address: Ensure your email address is professional. In Zambia, as in many places, a casual or inappropriate email address can be off-putting to potential employers. ‍
  • Add References: Zambian employers often contact references, so it's important to include credible references on your resume. Make sure to inform your references that they might be contacted. ‍
  • Provide a Zambian Phone Number: If you're an international applicant, provide a Zambian phone number if possible. This shows you're serious about the job and makes it easier for employers to reach you. ‍
  • Include a Profile Summary: A concise and clear profile summary at the beginning of your resume can help capture the attention of employers. Make sure it's tailored to the specific job you're applying for. ‍
  • Proofread: Make sure your resume is free from grammatical errors and typos. In Zambia, like everywhere else, a well-polished resume reflects positively on your attention to detail and professionalism. ‍

Crafting Effective Cover Letters for the Zambian Job Market

In the competitive job market of Zambia, enclosing a cover letter with your resume is of paramount importance. A well-crafted cover letter serves as an introduction and gives you the opportunity to personally express your interest in the position and the company. It allows you to highlight your skills and experiences that specifically match the job requirements, thus setting you apart from other candidates. Furthermore, a cover letter demonstrates your communication skills and shows your ability to articulate your thoughts clearly and effectively. Lastly, the cover letter can show your knowledge about the company and the industry, signaling to the employer that you have done your homework and are genuinely interested in the role.

Preparing for Job Interviews in Zambia: A Comprehensive Guide

Securing a job in Zambia, just like anywhere else, requires being properly prepared for the interview. Job interviews are crucial as they determine whether or not you will get the job. They provide an opportunity for you to showcase your skills, personality, and passion for the job. Therefore, it is essential that you understand what to do and what not to do when preparing for one. The following are some tips that can guide you through this process.

✅ Do's:

  • Research thoroughly about the company: Understand the company’s mission, values, culture, and recent news. This will show the interviewer that you are genuinely interested in the company.
  • Understand the job description: Make sure you understand the role you are applying for, its requirements and how your skills, experiences and goals align with it.
  • Dress appropriately: In Zambia, formal attire is often expected for job interviews. Make sure your clothes are clean and ironed.
  • Practice common interview questions: This will help you to articulate your responses and reduce nervousness during the actual interview.
  • Prepare questions to ask the interviewer: This will show your interest in the job and your initiative.
  • Bring all necessary documents: Ensure you have your CV, academic transcripts, and any other required documents. ‍

❌ Don'ts:

  • Don't be late: Arriving late gives a bad impression. Plan your trip and leave early to avoid any unexpected delays.
  • Don't lie about your skills or experience: Honesty is crucial. If you are found to be dishonest it could lead to immediate disqualification.
  • Don't speak negatively about your past employers or colleagues: It portrays a lack of professionalism and respect.
  • Don't forget to follow up: After the interview, send a thank you note expressing your gratitude for the opportunity. However, avoid being pushy or demanding immediate feedback.
  • Don't neglect your body language: Avoid poor body language such as failing to make eye contact, fidgeting, or crossing your arms. These can create an impression of disinterest or nervousness. ‍

Essential Job Application Practices in Zambia

When applying for a job in Zambia, it's essential to present a compelling CV and cover letter, as these are the first impression potential employers will have of you. Your CV should be clear, concise, and tailored to the specific job you're applying for. It should highlight your skills, experiences, and accomplishments that are relevant to the role. The cover letter should not be a repetition of your CV, but rather it should explain why you are the right person for the job. It’s also important to proofread your CV and cover letter for any errors, as these can give a negative impression.

Preparation is key when it comes to job interviews in Zambia. Do your research about the company and the role you’re applying for so you can answer questions confidently and ask insightful questions. Dress professionally, arrive on time, and remember that your body language can also communicate your enthusiasm and professionalism. Follow up after the interview to thank the interviewer for their time and to reiterate your interest in the role.

Remember, applying for a job is not only about showcasing your skills and qualifications, but also about demonstrating your commitment, enthusiasm, and fit for the company culture. With a well-crafted CV and cover letter and a well-prepared interview, you'll increase your chances of landing the job you want in Zambia.

There are a lot of places in Africa that should be high up on your travel bucket list, and I believe that Zambia should be one of them! After all, aside from the fact that you can find the famed Victoria Falls on its borders, you’ll also find a lush wilderness and diverse wildlife that will fill you to the brim with awe. (Zambia Visa)

Though, if by chance you are worried about ease of entry, don’t fret because getting a Zambia visa is fairly easy — especially now that they offer the possibility of doing it online through an e-Visa application.

…But first, a disclaimer :

NO ONE  can give you a guarantee on your Zambia visa’s approval — not even a lawyer, a consultant, a travel agent, or an embassy employee. Anyone who says otherwise is most likely going to be a scammer. That being said, what I can offer you here is a comprehensive guide with helpful tips to increase your chances of getting that Zambia tourist visa.

How to Apply for a Zambia Visa Online

Step 1: determine if you are eligible for a zambia visa.

As an alternative to visas issued at Zambia embassies, missions, and ports of entry, it is now possible for all foreign nationals to apply online for a Zambia e-Visa through this link .

This kind of Zambia visa will be valid for 3 months (90 days) from the approval date, and you must enter the country on any date within this period — failure to enter within this period renders the e-Visa invalid, and thus you will have to make a new application.

If you’re a national/citizen of any of the countries listed below, then you do NOT need to apply for a Zambia visa / e-Visa.

Angola Anguilla Antigua and Bermuda Australian Antarctic Territory Bahamas Barbados Belize Bermuda Botswana British Antarctic Territory British Indian Ocean Territory British Virgin Islands Cayman Islands Channel Islands

Cyprus Dominica Falkland Islands Falkland Islands Dependencies Fiji Islands Gilbraltar Grenada Hong Kong Ireland Isle of Man Jamaica Kenya Kiribati Lesotho Malawi Malaysia Maldives Malta

Marshall Islands Mauritius Montenegro Montserrat Mozambique Namibia Nauru Niue Norfolk Island Pitcairn Islands Romania Ross Dependency St. Helena St. Kitts and Nevis St. Lucia St. Vincent and Grenadines Samoa

Serbia Seychelles Singapore Solomon Islands South Africa Swaziland Tanzania Tokelau Tonga Trinidad and Tobago Tuvalu Turks and Caicos Island Uganda Vanuatu Western Samoa Zimbabwe

Naturally, if you do NOT find your country above, then you need to apply for a Zambia visa / e-Visa. Of course, you can opt to apply through your local Zambia embassy, but if you want an easier and faster way, then getting an e-Visa online is far better.

To date, it is possible to apply for single entry, double entry, multiple entry, and transit e-Visa.

NOTES : – If you are visiting less than 24 hours only, Zambia can issue a ‘day trippers’ visa for $20 but this is only issued at a port of entry (Victoria Falls and Kazungula Border Controls). Take note that for this, you must also exit at that same port. This kind of visa also applies to tourists visiting Zambia and who also wish to visit a neighboring country and then re-enter Zambia again within 24 hours. . – If you plan to visit both Zimbabwe and Zambia multiple times, you can apply for a KAZA Univisa ($50). You can check this link if you’re eligible for this. Take note that this visa is valid for up to 30 days as long as you remain within Zambia and Zimbabwe, and you can apply for it online or at certain ports of entry. It also covers those who visit Botswana for day trips through Kazungula Borders.

Before you lodge your Zambia visa application online, it’s best to prepare the following beforehand…

  • Your passport must also have at least 2 consecutive blank pages.

  • TIP : See here for a list of the ‘ best hotels in Zambia ‘.

  • Later on, in case you want to book your flight, my go-to platform is Skyscanner since i t always looks for the best fares and flight combinations possible across all airlines.

INVITED BY SOMEONE IN ZAMBIA…? (Prepare the following too)

  • This should be signed and addressed to the Director General of Immigration by your host.
  • It must also include the full physical address and telephone number of your host.
  • i.e. copy of NRC/ Zambia Immigration Permit.
  • Note that persons on Study, Visiting, Temporary Employment Permit, and Temporal Permits CANNOT invite visitors or act as hosts for a Zambia visa application.

OTHER INFORMATION (Vital info needed when filling up your e-Visa application online)

  • Entry and exit date of your travel to Zambia
  • A debit card or credit card
  • ***Depending on your nationality, type of visa desired, and purpose of visit, there may be additional requirements that will be needed from you (which is not listed above). Rest assured, you will be informed of these requirements after you select your country, type of visa, and travel dates on the online portal for the Zambia e-Visa .

Step 3: Process your Zambia Visa application online

To finally initiate your Zambia visa application, simply go to this website and click the green button that says “ Apply ” under the first white box titled ‘ ✓ 1. Apply’ .

The next pages will be very easy and self-explanatory as it asks for important information regarding you and your intended Zambia trip.

I will NOT go into so much detail on this because every section will be pretty straightforward and easy to understand when you’re filling it up.

NOTE : Enter an active email address that you use because they will be communicating with you through it.

Step 4: Do the visa fee payment

Once you’re done filling in the required details of your e-Visa application, the website will proceed to the payment page. Below are the fees required (in USD currency) as per the type of Zambia tourist visa/e-Visa that you are applying for…

  • Single Entry = $50
  • Double Entry = $80
  • This is issued only by the Headquarters through the e-Visa online facility.
  • For those who are transiting through Zambia using land transport, and it will be valid for a maximum period of seven (7) days.
NOTE: Single, double, and multiple-entry visas are valid for ninety (90) days or 3 months from the date of issuance, with the exception of nationals from the United States of America (since multiple-entry visas issued to them have a validity of three (3) years, on a reciprocal basis).

WHAT IS THE METHOD OF PAYMENT? You can pay the visa fee via debit or credit card on the online portal.

Once this visa fee payment is made, your application will be instantly submitted for processing and you will also receive an email that indicates your reference no . (which you can use later on to track the status of your application). In a separate email, you will also receive a receipt of your visa fee payment and you must print this and present it when you enter Zambia. . !!! IMPORTANT: In this email, they will also be sending a confirmation link which you need to click in order to verify your email address and activate your Zambia visa application. If you do not confirm within 1 hour, your application will be canceled — so make sure that you click it.

Step 5: Wait for the results of your E-Visa application

Within 3 or 5 working days — as dependent on your visa category — you can expect to receive feedback regarding your Zambia visa application via the email that you registered on the e-Visa online portal.

If you want to, you can track the progress of your application by going to this link. Just enter your reference no. and passport no to check the status.

For my case, I got my approval letter in just 3 working days! If your application is successful, your Zambia e-Visa authorization/approval letter will be attached to the email that will be sent to you (you can also download it from this link ).

Sample Zambia Visa Approval Letter

Simply print out this letter and then present it together with your passport and visa fee payment receipt upon arrival in Zambia.

Immigration officers at ports of entry can verify your e-Visa on their system; but remember that as is the case with all visas, it is their right and discretion to deny you entry even if you have an e-Visa authorization/approval letter.

But rest assured, as long as you have all your documents ready, you should be fine!

IMPORTANT: If you are arriving from or have transited through a yellow fever zone (for more than 12 hours), you must carry a yellow fever vaccination card since it may be required of you at the port of entry. For a list of the countries that are deemed at a risk for yellow fever, go to this link . For a more updated list, you can inquire with your local Zambia embassy.

Booking Essentials

Book an AirBnB

TIP: It’s a good idea to crosscheck the prices with other popular travel insurance providers like World Nomads and HeyMondo (as my reader, you get 5% off)! . However, take note a travel insurance’s affordability typically means lesser coverage; so please always ensure that you read the fine print in order to decipher which travel insurance company is the right fit for you and your trip!

FAQ (Frequently Asked Questions)

You can apply 30 days before your flight. Just remember that the Zambia visa approval letter is valid for 3 months from the approval date — so you must enter Zambia on any date within this period. Failure to enter within this period renders your Zambia e-Visa invalid and thus you will you will have to make a new application.

The Embassy of Zambia did not explicitly state a money requirement, so just make sure that your bank account covers the cost of your flight, accommodation and daily expenses for the trip.

Like I’ve mentioned above, it usually takes 3 or 5 working days. I got mine in just 3 days.

You can check here to track the progress of your Zambia visa application.

I highly advise that you get travel insurance for your trip to protect yourself from any unwanted hassles such as travel delays, lost baggage, accidents, etc. To avail, I would highly recommend SafetyWing because they offer the best price and coverage.

Why are you applying for an e-visa? I assume you have a German passport?

If you get an e-visa, all you get is a pre-approval letter, you still need to pay on arrival. So there's no benefit in getting an e-visa if you can get a visa on arrival- it doesn't speed anything up, avoid any queues. It's only really necessary if you are of a nationality that requires a visa in advance eg Indian.

Getting a visa on arrival in Zambia is ridiculously easy. Last time I didn't even have to fill in a form, I just handed over $50 and I was asked how long I was staying.

Thank you for your advise. We will enter Zambia in Kazungula, hope this it is not a problem. And we need a double entry visa. I am still hoping that they will reintroduce the KAZA Visa .

That's not a problem- you can get a double entry visa for $80.

Did you need passport photos for the Visa in Zambia?

Not on arrival, no.

Thank you for your help.

Thank you very much for your help.

Hey. Found your conversation and hope you can help me as well.

I have the same question as landlaus but I want to apply for a multiple entry visa. And as I understand it it's compulsory to apply for an eVisa in advance.

Thanks for your help.

We will be arriving in Zambia on 3 Jan 2017. The Zambian Gov't website says that all the major points of entry now accept credit and debit cards to pay the $50 visa fee. I'm just checking to make sure that this is the case on the ground..
