How to Use Assignments in Microsoft Teams: Quick 12-Minute Tutorial for Teachers

Using Microsoft Teams in the classroom gained popularity during the pandemic. However, it can, and is, being used in both online and physical classrooms today. As a learning management tool, Teams works seamlessly with other Microsoft products like Word, Excel, and PowerPoint which are classic favorites for students and teachers alike.

This multi-functional tool allows you to stay in touch with your students not only through video calls, but with chats, files, and assignments in Microsoft Teams. Teams can seem daunting when you first begin to use it, but it really is quite simple and easy to use. Below is a quick, everything-you-need-to-know guide on assignments in Microsoft Teams. Let’s get started!

Create an Assignment in Microsoft Teams

To begin creating assignments in Microsoft Teams, you first need to be sure of two things:

  • You are logged in with a Microsoft EDU account
  • The Team you have created is a Class Team type

If both of those things are complete you will be able to see the Assignments tab on the side ribbon and on the top ribbon in the General channel. If you need help getting to know the interface and basics of Teams, check out our Teams Guide for Teachers.

Start a New Assignment

Now, to create your assignment, click on the Assignments tab from the top ribbon under your General Channel. Click Create , and then Assignment , to begin your first assignment. You can explore creating a quiz with the help of Microsoft Forms and creating an assignment based on a pre-existing assignment another time.

Add Assignment Details

In your new assignment, add a title and a description to let your students know what to do to complete the assignment.

If you prefer to attach the instructions as a document, or have supporting materials to the assignment, you can attach them under the Add Resources link. Teams allows you to attach files in many different ways: through your OneDrive, ClassNoteBook, from a link, by creating a new file, or from uploading a document from your computer.

When you attach a resource, you have the option to allow students to edit it or not. By default, they cannot edit; however, if you prefer to change this, just click on the three dots at the end of the resource and click, Students edit their own copy. Now, when students edit this file, a new copy will be made for them, and it is automatically attached to this assignment for an easy turn-in.

Set Points and a Rubric

To easily grade this assignment in Teams, assign the number of points it is worth, or add a rubric . Similar to creating assignments, you can use a pre-existing rubric, upload one, or create a new one.

Creating a new rubric is very customizable so you are able to add all the information your students need to complete the assignment. Just add a title , and a description , then fill in the rest of the rubric. If you need more categories , just click the plus button at the end of the columns, or after the bottom row. In addition, you can assign points to each category of the rubric.

Choose Students to Assign the Work to

The next step in creating an assignment is to assign it to your students. You can assign it to all of them, or a certain student(s) for more individualized work. Just click Assign to All, or go through the list and click the students you would like to assign this to.

Give a Due Date & Close Date

In Teams, there are two different categories of dates for when the assignment is due.

Due Date: This is when the assignment is due, however, students are still able to turn in the assignment late, after the due date has passed.

Close Date: This is when the assignment closes and no more submissions are allowed.

To set both of these, and schedule this assignment for the future, click Edit under the Due Date section. To set a Close Date , click the checkbox on the side and set the date.

When all of your setups are complete, back at the top of the page, click assign, or save for later if it still needs a bit more work.

How Students Can Turn in Assignments

After you assign an assignment, students will receive a notification. They are able to view the assignment in the General Channel or on the Assignment tabs.

The student’s view of the assignment is very similar to the teacher’s view. They will see the Due Date and Close Date, the instructions, any files you have attached, and a rubric if there is one.

Students can begin their assignments right away in Teams if you have attached a document for them to work on. In the example below, students would be using PowerPoint on their desktops simultaneously with ClassPoint to make their presentations more interactive. As they work, their changes will be saved automatically. If you don’t have a document attached, students can upload and attach their work instead.

When they have completed their work, they just need to click Turn In. They will see a fun animation appear indicating the turn-in is successful.

How to Grade Assignments

Once students have turned in their work, you will receive a notification. Now, you can easily look over and grade their work. Click into an assignment to view how many students have turned in their work, how many need grading, and how many you have already graded.

To grade an assignment, click on the Turned in status. Here, you are able to view their work alongside a tab for you to give them feedback. If you have a rubric , it will open for you to assign the points for each category. Scrolling down, you can leave feedback to let them know what they excelled at and what needs more work.

When the grading is completed, you can return it to the student. They can view your feedback, make changes, and turn it in again if necessary.

To easily jump between students for a continuous grading experience, click the arrows on the side of the student’s name, or click on the student’s name for a drop-down menu of your other students.

Export Grade Data

In Teams, it is really easy to export data, especially for assignments. You can export data for certain assignments, in addition to exporting all assignments and student grade data. This can be done from the Grades pivot on the top toolbar. You will see a complete list of your students, and of each assignment on this tab that you have assigned throughout the year.

What if I don’t see the Assignments tab?

If you don’t see the Assignment tab on the top ribbon in your General channel, or on the side ribbon, you are not logged in with a Microsoft EDU account. Create your own, or get in touch with your IT department for your login.

What is the difference between the Due Date and the Close Date?

Students can still turn in Assignments after the Due Date has passed, but once the Close Date has passed, no more submissions are allowed.

If I return the assignment to my student does that mean I want them to redo it?

Not necessarily. You can return all assignments to the students so that they can see your feedback. If you want a student to redo the assignment, you should let them know in your feedback.

Can I attach a PDF for my students to edit to the assignment?

You can do this through your Class Notebook! Insert the PDF to a Class Notebook page and set it as the background. Then, you can assign this page to your students.

Can I assign an assignment to a certain channel?

Unfortunately, no. You can only assign to the General Channel, which is all your students, or assign to individual students when setting up the assignment.

Assignments in Teams for Education

The Assignments and Grades features in Teams for Education allow educators to assign tasks, work, or quizzes to their students. Educators can manage assignment timelines, instructions, add resources to turn in, grade with rubrics, and more. They can also track class and individual student progress in the Grades tab.

Assignments integrations in the Microsoft Teams admin center

Using the admin settings in the Microsoft Teams admin center, you can turn features on or off for educators within your organization and their students.

To view and manage Assignment settings, go to Education > Assignment settings in the Teams admin center.

The following are settings related to Assignments:

Weekly guardian email digest

Guardian emails are sent each weekend to parents or guardians. The email contains information about assignments from the previous week and for the upcoming week. The Parent and Guardian Sync can be setup using School Data Sync .

Import parent contact information via Parent and Guardian Sync in SDS. For instructions on how to enable Parent and Guardian Sync, see Enabling Parent and Guardian Sync .

Turn on the Guardian Setting in the Microsoft Teams admin center, as the setting is turned off by default. This will enable teachers to send out a weekly digest.

Teachers can opt-out of the digest by deselecting the setting inside their own personal class team ( Assignment Settings > Parent/Guardian Emails ).

To verify that Parents will get the email, the following three items must be true:

Email address attached to the student profile in SDS and tagged as Parent or Guardian . For details, see Parent and Guardian Sync File Format .

Students belong to at least one class in which e-mail isn't disabled by the teacher in assignment settings .

The emails will contain information about assignments that have a due date from the previous week or in the upcoming week.

Default setting for this feature is - Off .

Microsoft MakeCode is a block-based coding platform that brings computer science to life for all students.

MakeCode is a Microsoft product that is subject to the Microsoft terms of use and privacy policies.

To enable MakeCode assignments in Teams, go to the Teams Admin Center , navigate to the Assignments section, and turn the MakeCode toggle option to On . Select Save . Allow a few hours for these settings to take effect.

Turnitin is an academic integrity service. This is a third-party service that is subject to its own terms and privacy policy. You're responsible for your use of any third-party products and services.

To enable Turnitin for your organization, you'll need a Turnitin subscription. Then, you can input the following information, which can be found in your Turnitin admin console:

  • TurnitinApiKey : This is a 32-character GUID found in the admin console under Integrations.
  • TurnitinApiUrl : This is the HTTPS URL of your Turnitin admin console.

Here are some instructions to help you obtain this information.

The TurnitinApiUrl is the host address of your admin console. Example: https://your-tenant-name.turnitin.com

The admin console is where you can create an integration and an API key associated with the integration.

Select Integrations from the side menu, then select Add Integration and give the integration a name.

The TurnitinApiKey will be given to you after you follow the prompts. Copy the API key and paste it into the Microsoft Teams admin center. This is the only time you can view the key.

Upon clicking the Save button in the admin center for this setting, allow a few hours for these settings to take effect.

Assignments data

Assignments stores information that is generated both by teachers and students. All the data is co-shared between teacher and the specific student for which the information is intended in class. There are two stores of this data, SharePoint and outside of SharePoint.

The same rules also apply to first-party integrations such as Reading Progress.

Assignments data in SharePoint document libraries

Students' files associated with a Submission for Assignment are stored in a document library (named: Student Work ). Files associated with Assignments that are created by teachers and accessible by Students are stored in another document library (named: Class Files ) in the corresponding Class Team SharePoint site. First-party integrations may also store Assignments data in the same corresponding Class Team SharePoint site (named: Assignments title + time stamp ).

Files associated with the student

IT admins can use the Content Search tool to search for student files ( Student Work , Class Files , or other 1st-party integration files) that are related to assignment submissions and files that are related to assignments. For example, an admin could search all SharePoint sites in the organization and use the student's name and class or assignment name in the search query to find data relevant to a data subject request (DSR).

Files associated with the teacher

IT admins can use the Content Search tool to search for teacher files ( Student Work , Class Files , or other 1st-party integration files) that are related to assignments and files distributed to students by the teachers within a class on assignments. For example, an admin could search all SharePoint sites in the organization and use the teacher's name and class or assignment name in the search query to find data relevant to a DSR.

Assignments data outside of SharePoint document libraries

Some data related to Assignments isn't stored in the class team SharePoint site, which means it's not discoverable with Content Search. This includes:

  • Student grades and feedback from the teacher
  • The list of documents submitted for an assignment by each student
  • Assignment details like Due Date, etc.
  • First-party integration data like Reading Progress passages or student pronunciation data

For this type of data, an IT admin or data owner, such as a teacher, may have to go into the assignment in the class team to find data relevant to a DSR. The admin can add themselves as an owner to the class and view all the assignments for that class team.

If a student is no longer part of the class, their data might still be present in the class as no longer enrolled . The student will have to provide the tenant admin the list of such classes that they were ever a part of.

Bulk Export assignment data outside of SharePoint document libraries

For a student.

To bulk export a single student's data, before removing the student from the classes they're part of, run the script and provide the userId . If the student has been removed from the site, either the admin can add the student back to the class before running the script, or the admin can provide the userId and the classId that the student was ever a part of.

The data about the student submissions will be exported.

For a teacher

Bulk Export assignment data works the same way for a student, but all submissions that the teacher has access to will be exported.

Bulk Delete assignment data outside of SharePoint document libraries

To bulk delete a single student's data, before removing the student from the classes they're part of, run the script and provide the userId . If the student has been removed from the site, either the admin can add the student back to the class before running the script, or the admin can provide the userId and the classId that the student was ever a part of.

Providing a ClassId will allow the admin to only delete information about the student from a specific class.

Since an assignment's data for a teacher is shared across the class, there's no bulk delete option. Instead the admin can add themselves to the class, go to the app, and delete the assignment.

Removing Assignments and Grades

You can also use Teams policies to remove Assignments and Grades for a specific user or for your entire tenant.

To remove Assignments and Grades for an individual user, go to Teams Admin Center and navigate to Teams apps > Permission policies to create a new app permission policy definition. When creating the new policy definition, set the Microsoft apps policy to Block specific apps and allow all others and add Assignments and Grades to the list of blocked applications. Once your new policy definition is saved, assign it to the appropriate users.

To remove Assignments and Grades for your entire tenant, go to Teams Admin Center , navigate to Teams apps > Manage apps , and search for and select Assignments and Grades from the application list. Change the status setting within the applications' settings page to Blocked .

Assignments diagnostic tool for users

Microsoft Support has created a tool to collect diagnostic data for the Microsoft engineering team to investigate issues related to the Assignments feature.

This tool can be accessed inside of Assignments on any screen the users experience an issue.

To pull up the diagnostic tool in Teams, users can:

  • Select Ctrl+/
  • Touch the screen with two fingers and rotate fingers 45 degrees, or
  • Tap on the screen with three fingers for 15 seconds

Once the diagnostic tool pops up, users will see a list of data that may be needed by Microsoft technical support.

The data pulled may include:

  • Assignment ID
  • Submission ID

This data isn't automatically sent to Microsoft. Users need to copy and paste the data to a Microsoft support agent regarding a support ticket.

If a user pulls up the diagnostic tool then closes it, no data is sent.

When the data is sent to a Microsoft support agent, it's handled as Support Data under your organization's Microsoft 365 service agreements.

New assignments features in Teams for Education

In this post I will show you the recently announced assignment features in Teams for Education.

In a recent blog post on Microsoft Tech Community ,  Microsoft Education Principal Program Manager Justin Chando just shared some great news for education users.

You can now post assignments to individuals or small groups, schedule assignments for later, allow students to undo their turn in and allow teachers to return an assignment with feedback so that students can keep on improving it.

Some of you might remember that I demoed the latter, the assignments return flow, in my session How to Deploy and Use Teams for Education in Your School District, during the Learn Teams Conference in the beginning of April.

Nevertheless, let me walk you through the new features one by one.

Assign to individuals or small groups

Often times you have students working in groups, or an individual or a subset of the class with special needs. Instead of giving the same assignment to the whole class…

…you can now assign one that is custom made, reducing outsideness.

Schedule assignments for later

Another feature that has been longed for by educators is the possibility to schedule an assignment. While you have always been able to create a draft, to manually publish when ready, it surely fits the organized educator even more to be able to create assignments in advance to release on schedule. You can now accomplish this, literally by the flip of a switch.

The assignments return flow

Educators wanting to practice formative assessment are now in luck, let’s see how we can accomplish this in the latest update of Teams for Education.

First, we need to create and publish an assignment. Below we have set a due date, allowed late turn-in, attached some instructions and added a word document for the student to turn in.

When a student turns in the assignment…

…he or she will have the possibility to undo the turn in for further improvement.

Students can turn in and undo submissions as many times they need until the due date.

Often times though, it is the teacher who would like to return an assignment with some feedback, to encourage students to improve even further.

Teachers can return the assignment to one or more students with some feedback, which will let the student(s) know with a notification. The status will change to returned, showing the date and time.

The announcement also showed rich text editing for assignment instructions, where educators can bold, highlight and more.

  Turn in celebrations

Last but not least for assignments are turn in celebrations. It’s obviously not a huge feature, but it will encourage some students for sure, which in itself is important.

This is all I can share for now, but rest assured, more great features will surface in Teams for Education before the summer is over!

How to create a work schedule template (with examples)

A work schedule is a way to document when your team members are working and what they are working on. This type of documentation might sound simple, but it’s essential for your team’s structure. By visualizing your team’s tasks in advance, you enable team collaboration and keep projects on track. 

Why use a work schedule template?

Do you ever find your team juggling tasks, missing deadlines, or struggling to coordinate shift schedules effectively? A customizable work schedule template might be the solution you're looking for. By laying out who works when, and on what, templates eliminate guesswork and streamline operations across different departments and team members.

Using a work schedule template simplifies the scheduling process for managers by making it easier to allocate resources, anticipate workload, and manage time off. In essence, a well-crafted work schedule template is more than just a chart; it's a strategic scheduling tool that can balance workloads and propel your team towards greater efficiency and success.

How to create a work schedule template

A work schedule is a simple document that describes which team members are working when. But you can take this document beyond its core value by also adding information about what each team member will be working on when. Use these six steps to uplevel your work schedule template:

1. Align work schedules with your team

The first step in creating your work schedule template is to align on what your team's work schedule is. This step is a chance for you and your team to align on who will be working when. 

Tip: Always check with your HR and legal teams during this stage to ensure you're complying with local and federal guidelines about work schedules. For example, which team members are allowed to work overtime and which team members aren’t? 

2. Identify who’s working on what

Once you’ve aligned your team’s work schedules, you can take a comprehensive look at your to-do list . That way, you can create a big picture view of what needs to be done and what priorities others already have.

When you make your list, input the tasks you and your team need to complete into your online tool. You may want to start with a weekly or monthly task list; that way, you can make a habit of regularly updating this list. 

You should also include items that team members need to keep track of, like meetings, workshops, and performance reviews.

You can use a work breakdown structure to identify the required tasks for each of your projects. If you can’t think of everything, don’t worry. Team members can add to their work schedules once they view them online. They’ll have the best idea of what their daily schedule should include.

3. Label tasks by deadline

In addition to capturing everything your team needs to work on in the coming days or weeks, ensure each initiative has an accompanying deadline. Without clear understanding of when work is due, your team won’t be able to effectively prioritize their tasks. 

Note that your deadlines may change as timelines adjust, and that’s ok. Clarifying task deadlines—even if they’re only rough deadlines—helps your team understand what they should be working on when. 

Tip: It’s okay if you’re unable to plan your work schedule months in advance. Aim to flesh out the details of one project at a time. Add those details into your project management tool to keep track of tasks, deadlines, and priorities. Then, if you need to make any changes, your virtual tool makes your work schedules flexible and easy to adjust.

4. Assign tasks to team members

Your work schedule gives you information about who’s working when. Combine that information with the deadlines and priorities of each task to figure out who needs to be working on what. In particular, seeing deadlines next to your tasks can help you determine how many people you need for each project, and when those people will be available. Use a RACI chart to outline what roles and responsibilities team members have for each project. 

As you assign team members to tasks, consider the following questions:

When are team members available?

How many hours does each team member have to work on this?

What days are team members available for work?

How can I align team member schedules with relevant work tasks?

Tip: Once you know your timeline and team, bring everyone together to nail down the project details. It’s often easier to identify team member strengths and find where people fit into a project when you observe their behaviors and receive feedback. 

5. Create start dates for tasks

Deadlines show team members when to complete tasks, but you’ll also need to map out task start dates. Team members need both start and end times for tasks so they can plan out the rest of their schedules. That way, they can make room for unexpected meetings, professional development, or personal to-dos.

Tip: An alternative to creating start dates for tasks is to assign hours to a project. This gives team members flexibility on task start dates, while still providing the needed structure. Estimated hours also set benchmarks for utilization rates . Once a team member completes a task, they'll clock the actual hours it took them and you'll compare this time to the time you assigned. 

6. Automate and change as needed

One of the best things about online work schedules is using built-in rules and automation . Work life can get busy—that’s no surprise—and there are a lot of moving parts in a work schedule. Use project management automation to track what your team is working on to prevent burnout and overwork.

Some helpful ways to automate your work schedule include: 

Assigning hours to individual tasks

Moving work around when one team member is overloaded

Adjusting deadlines when projects get extended

Tip: You should now have a comprehensive task list with people assigned and task timeframes for each. At this point, you can make any necessary changes to your work schedule and ask team members for feedback.

Why use work scheduling software?

When you think of work schedules, does a traditional print out come to mind? If so, we’re not surprised. That’s because traditional work schedules are static documents that are typically printed out and posted somewhere in the office.

But writing your work schedule on paper comes with a whole host of problems. From losing the paper to not having enough space for edits, work schedule printouts don’t leave room for error. The point of a work schedule is to make things more clear—so if you’re getting lost among a sea of papers, something is amiss.

Instead, uplevel your work schedule by creating it in an online scheduling tool. You’ll be able to streamline team schedules, see who’s working when, and capture real-time data about the initiatives each team member is working on. This level of visibility can be especially impactful for large-scale projects such as clinical trial management and new site openings , where effective scheduling can lead to significant reductions in costs and delays.

For example, if you view your work schedule as a calendar, you may notice deadlines more easily. But if you view your work schedule as a Gantt chart, you’ll see project dependencies more clearly.

Here are some ways to view your work schedule with Asana:

Gantt chart: A Gantt chart is a horizontal bar chart that displays your work schedule. It’s a great visual tool to understand the tasks your team needs to complete over time, along with key milestones and dependencies.

Calendar view: With calendar view, you’ll have a clear idea of when tasks are due and how those tasks relate to other tasks or events happening in your day, week, or month. 

By list: When you view your work schedule as a to-do list, you’ll see every detail that accompanies each task. These items will show up in drop-downs menus for things such as priority, assignee, attached docs, deadlines, and notes. 

Kanban boards: Kanban boards organize tasks in your work schedule in columns. Traditionally, each column represents a work stage. Your Kanban board might have columns labeled, “to do,” “in progress,” and “done.” Individual tasks—which are represented as cards on the board—move through the columns until team members complete each task.

The different schedule views help you visualize team tasks and gain insight into your entire project. Some of these tools combine the benefits of scheduling with project management so you can view and work on projects as they progress through each stage.

Types of work schedules

Work schedules vary between industries, roles, and countries. A software engineer may work the night shift to keep systems running for daytime workers, and an operations manager may have extended shift schedules to watch over manufacturing. 

While your company may stick to a traditional full-time schedule, it can be helpful to familiarize yourself with other work schedule types. Your team members may appreciate flexibility with their day instead of sticking to a 9-to-5 schedule. But before making any changes to your team’s work schedule, make sure to check with your internal legal team. Always make sure to follow local and federal laws when assigning work schedules.

Some of the most common types of work schedules include:

A full-time schedule means your team members are working a traditional work week. For example, in the United States, a full time schedule means team members work 40 hours per week—traditionally from 9 a.m. to 5 p.m., Monday through Friday. Other countries, like France, might have other legal definitions of what “full time” means—so always check with your internal legal and HR teams if you haven’t already. 

If you use this work schedule, you’ll usually work at the same time as others on your team. This will make communication with partners or stakeholders easier. You can set up a full-time schedule for your team members by keeping deadlines and task start dates within these hours.  

Part–time team members work fewer than a full work week. You may have part-timers for roles that don’t require as much work, or because a team member doesn’t want to work full time. To set up part-time schedules, make a note of when these people are available to work and assign them tasks that they can work with others on during those allotted times. 

There are a variety of local and federal laws that govern what part time work schedules may be available in your area. When in doubt, check with your internal legal team to learn what part-time options are available for your team members, if any.

Remote/Flex

Many companies have adopted remote/flex-time schedules to give team members more freedom. Flexibility can reduce employee turnover, which results in reduced labor costs. A flex-time schedule might require core work hours of 10am to 2pm, while the other four hours are team members' choice. In this example, as long as each team member works eight hours per day, they’ve met their daily work requirement. 

Flex schedules aren’t available for every team, company, or country, but it may be a good solution to give your team the flexibility they need to get their best work done. If you do try this type of work schedule, ensure you schedule team gatherings like meetings and workshops within the core hours when you know everyone will be at work.

5-4/9 work schedule

The 5-4/9 work schedule is a creative way to adjust your team members’ full-time hours. In this setup, team members work 80 hours over two weeks, but they do so by working five nine-hour days during week one, and four nine-hour days during week two. This benefits the team members because they receive a three-day weekend every other week. This change to the team work schedule could improve work-life balance without disrupting communication with others in your industry. As with other work schedules, check local and federal guidelines before trying to implement this schedule.

2-2, 3-2, 2-3 work schedule

The 2-2, 3-2, 2-3 work schedule is more common for team members who work around the clock, but it could inspire your work schedule template. In this schedule, team members work in 12-hour shifts. They work two days on, followed by two days off. Then, they work three days on, followed by two days off. Next, they work two days on, followed by three days off, before the cycle continues. This schedule can switch between day shift cycles and night shift cycles. 

This type of cyclical work schedule is great for industries where team members need to be available around the clock. But before you move forward with this template, confirm with your internal legal team that this is in line with local and federal guidelines in your area. 

4/10 schedule

A simplified version of the schedule above is the 4/10. In this schedule, team members work in 10-hour shifts. Team members work four days of the week before having three days off. Your team members might appreciate this work schedule because it only adds two hours to their average workday, but it gives them three-day weekends every weekend. Similar to other adjusted work schedules, this template may not be available in your area, so check with your company before moving forward.

Schedule a meeting in Microsoft Teams

Stay in sync with scheduled Teams meetings, where you can collaborate with your team, present content , and much more.

When you schedule a meeting in Teams, it'll automatically appear in your Outlook calendar, and vice versa. Scheduling from Outlook? Learn how to add Teams to your Outlook meeting .

There are several ways to schedule a meeting in Teams.

Schedule a calendar meeting

Add meeting details and attendees.

Select Send .

Schedule a meeting from chat

Schedule a channel meeting

Add a shared calendar to your team channel . 

Video call button

Add other attendees who are outside the team.

Everyone in the team you scheduled the meeting for will receive a personal invite.

You can also invite a channel to a regular meeting by typing the channel name in the  Add channel field. Channels can't be edited or added once the invite is sent. You'll need to send a new invite with the updated channel.

When you have a meeting in a channel, everyone in the team will be able to see it and join it in that channel. This feature isn't available in private channels.

Invitees outside your org won't have access to the channel calendar.

You can invite attendees to your Teams meeting while you're creating it or after. 

Up to 1,000 invitees can join and participate in a Teams meeting. Up to 10,000 invitees can join as view-only attendees in meetings that already have 1,000 attendees. 

To invite attendees:

Create a meeting or open one in your Teams calendar.

Teams add member to chat

To invite someone outside your org, type their full email address (ex: [email protected]).

Select Send  or Send update . Invitees will receive an email with a link to the meeting.

At the top of your scheduling form, select  Scheduling Assistant to find a meeting time that works for everyone.

In Scheduling Assistant , you can view other attendees' time zones, schedules, and availability during different timeslots. The Scheduling Assistant grid will show each attendee's schedule.

Shaded areas show when attendees are busy or have tentative meetings.

After you fill out the details, select Send  to close the scheduling form and invite attendees to the meeting.

Teams lets you invite people to a meeting via a meeting link. To share this link:

The meeting link will appear as a URL. Select Copy  to copy the URL.

Add a dial-in number  

Include a dial-in number and conference ID so that participants can call in to the Teams meeting. If you schedule the meeting from Outlook, the dial-in number and conference ID automatically appear in the scheduled meeting invite.

Color-code your calendar with categories. Assign one or more categories to each meeting in your calendar.

To assign categories:

Right-click an event in your calendar.

The Categorize icon.

Select a color.

You can also categorize a meeting when you schedule it by selecting Category at the top of the scheduling form.

Note:  Channel meetings can't be categorized.

Reschedule meetings and events from your Teams calendar. To quickly update a meeting time, select in in your Teams calendar, drag it into a new timeslot, and drop it.

You'll be notified of invitees' availability before you update the meeting time.

You can also change the meeting time by opening the meeting details, choosing a new time, and selecting Send update . Attendees will automatically receive a notification with the updated time. 

As an organizer, you can set the Show As status of the meeting in the action bar. When participants RSVP, their status will automatically reflect the status the organizer set. 

To set a meeting's Show as status:

Select Show as  in your meeting details.

Participants can choose a different Show as status by right-clicking the meeting in their Teams calendar, hovering over  Show as , and selecting a status.

 The default Show As value for all meetings is Busy .

To schedule a meeting:

Open the Teams mobile app.

Meetings button

Enter other meeting details.

Tap Done  to schedule the meeting and invite participants.

Note:  When you have a meeting in a channel, people will be able to see and join it in that channel.

To view and edit meeting details:

Tap a meeting to view details.

Tap Edit to edit the meeting details if you're an organizer.

Tap Done to send updates.

Daily Assignments Schedule Template

Yearly time off schedule template

The Yearly time off schedule template allows you to keep track of your time off throughout the year. In this template, we covered several vital categories of time off, such as paid vacation, sick leave, earned days, and others.

Also, there are three important sections for each type of time off: Consumed days, Available days, and Balance.

So, how to use the Yearly time off template?

It couldn't be simpler.

First, enter the balance for each type of time off. For particular types, such as sick leave, you may not have a balance, but for paid vacation, you definitely will.

Then, whenever you receive approval to take time off for any reason, just enter the number of days in the proper row (the type of time off) and in the right column (the current month).

Next, the template will automatically calculate the number of Consumed days (for each type of time off) and the number of Available days left.

Thus, you'll have a better idea of how many days off you've used so far and how many there are left by the end of the year.

Yearly Time Off Schedule

Weekly meetings schedule

The Weekly meetings schedule is suitable for those of you who have meetings every day. With this template, you'll be able to keep track of all your meetings. In addition, you can add any significant details, such as meeting agenda, topic, and start and end time.

The Weekly meetings schedule covers five days of the week. To make the most of this template, you should open it at the beginning of the week and enter all your weekly meetings. Be sure to include details such as where meetings take place or the links to online calls.

To ensure that you're fully prepared for any meeting, add its topic and agenda, if needed.

Then, once the meeting starts, you can follow its agenda, but also write notes in the Important notes section.

Monthly household chores template

The Monthly household chores template helps you deal with all your errands around the house. This template covers a weekly breakdown of chores, but also some additional ones that you do once a month.

You can add your typical weekly chores.

Plus, you can add the names of the people in charge of these errands, which comes in handy if you share your household chores with your partner, roommate, or family members.

There's a column called Additional monthly chores, where you can enter some of the errands you deal with every month. For example, cleaning/vacuuming furniture or cleaning windows.

Moreover, we included another section for all the outdoor chores, which comes in handy if you live in a house. To make sure you won't forget any outside-the-house monthly errands, be sure to add them to this list.

Monthly Household Chores Schedule

Weekly household chores schedule template

The Weekly household chores schedule template allows you to keep an eye on all your household chores during the week. We included a separate schedule for each day, along with Before work and After work columns, so that you can plan your errands accordingly.

In addition, we added the Who's in charge column to this template, too.

Since this template covers seven days, you can enter all your weekly errands at the beginning of the week.

Then, simply add the name of the person in charge of every chore.

Once you or your family members finish a specific errand, just put a checkmark next to it.

Also, during the workweek, you can decide whether you'll deal with these chores before or after work.

And, on weekends, you can choose whether you'll complete your errands in the morning or afternoon.

We didn't include evenings on weekends, because you should have some time to relax on Saturdays and Sundays.

Finally, this template contains the Shopping list — so, whenever you remember you need to buy milk or anything else, note it down here.

The Workout schedule template allows you to organize your exercise routine.

No matter whether you prefer working out in a gym or from home, you'll surely find our monthly and weekly workout templates useful.

Monthly workout schedule template

The Monthly workout schedule template ensures you stay consistent with your monthly workout targets. Setting such long-term goals is vital because it gives you a clearer picture of what you want to achieve. Thus, when you have a monthly target, you'll be able to make weekly plans. This will also help you plan your days accordingly.

That's why the Monthly workout schedule template contains the Overall goal field. So, your goal can be losing weight, improving your physical condition, or anything else. Just remember that goals should be challenging enough, you don't want objectives that are too easy or too difficult to achieve.

Now, how can you use this template?

Once you adopt your monthly objectives, you should decide what types of exercises will get you closer to your goal.

Then, choose how frequently you'll do such types of workouts.

Also, whether you'll do your exercises with or without equipment is up to you, and you can add these details to your schedule, too.

Apart from the Monthly workout schedule template, we also created the one for your weekly plans. First, you can plan your monthly routine, then use the Weekly workout schedule template to add more details.

As you can see, the Weekly workout schedule template covers several workout categories:

  • HIIT (high-intensity interval training), and
  • Yoga/stretching.

Depending on your monthly goals, you should choose the frequency of each category. Of course, you don't have to include all these categories in your workout plans, just the ones that will help you move towards your monthly objective.

Next, think of the best days for each type of exercise, as well as the time of the day.

Then, decide on the duration of your workout sessions.

This template also allows you to add links for workout videos you'd like to try, but also links for playlists. There's no doubt that music can help us stay motivated — so be sure to add your favorite tunes to this column.

Finally, remember that rest days are just as important as the days you exercise. Therefore, note down the days you'll spend resting.

The Monthly budget schedule template is designed to help you keep an eye on your expenses . In addition, this template includes a Savings column — to remind you to save some money for rainy days.

To make the most of our Monthly budget template, make sure you add the Starting budget.

Then, write down all the expenses you have during a month, such as rent, utilities, and other similar costs.

To ensure you'll pay all these expenses on time, there's the Due date column, too.

The template automatically calculates the total sum of your monthly costs, which can be pretty convenient.

Schedule projects and teams with Clockify

Aside from our Schedule templates, you can also use Clockify to schedule your projects and employees . This feature especially comes in handy for managers because they need to effectively schedule employee work time to ensure that all team members meet their deadlines.

The scheduling option in Clockify allows you to plan both projects and teams.

Here's how you can use Project scheduling with this Clockify option:

  • Add a new project by clicking on the button on the left corner. Clockify will automatically load that project and show you all the tasks under that project name. You can add a milestone by clicking anywhere on the timeline. You can easily edit your milestones, drag-and-drop them, or change their names.
  • You can add more team members to the project and create new assignments. To make sure nobody's swamped with work, Clockify will show users who are over their capacity.

In addition, you can zoom in and out to take a better look at assignments. Moreover, you can have an overview of the total hours assigned for each project.

When it comes to team schedules, Clockify also helps you see who's overbooked and who's available.

With Team scheduling, you can:

  • Add new members. Clockify will then automatically load all the assignments of these users.
  • Edit user's capacity by clicking on the three dots next to the user's name. This will give you a clue whether users are at their maximum capacity (Full), or they have several hours available for new tasks (Xh open), or if users are over their capacity for the day (Xh over).

This way, managers are able to assign new tasks to the right people and ensure that everyone has an equal amount of work during the week.

The 15th playing of the Presidents Cup takes place this week at The Royal Montreal Golf Club as the United States seeks to continue its dominance over the International Team in Canada. Coming into this year's competition with an overall record of 12-1-1 and a nine-match win streak under its belt, the visiting side appears keen on more of the same in the Great White North.

While the U.S. lauds a lengthy win streak and brings players like world No. 1 Scottie Scheffler and world No. 2 Xander Schauffele to the table, road affairs have become inherently more difficult in recent years. After skirting past the International Team in Korea, the U.S. trailed heading into the last day of the 2019 Presidents Cup at Royal Melbourne before mounting a memorable comeback in Sunday singles.

The red, white and blue will hope it won't get to that point; it not only brings the top two players in the world to Canada but also major champions like Collin Morikawa, Wyndham Clark, Keegan Bradley and Brian Harman as well as Presidents Cup rookies Russell Henley and Sahith Theegala.

The internationals, meanwhile, possess firepower of their own with stalwarts such as Adam Scott, who will play in his 11th straight Presidents Cup hoping this one will be the first of the winning variety. He is joined by familiar faces such as Hideki Matsuyama, off a stellar 2024 season, as well as Sungjae Im and Si Woo Kim, both of whom hold winning records in this competition.

There are players like Tom Kim, Min Woo Lee and Jason Day, who are expected to make major contributions for the home side, but the x-factors are the three Canadians captain Mike Weir selected to be on his squad. Taylor Pendrith and Corey Conners look to avenge a poor debut at Quail Hollow in 2022, and they are joined by their fellow countryman Mackenzie Hughes who is set to make his debut in his home country.

2024 Presidents Cup format, rules

Unlike the Ryder Cup, which jams four sessions into the first two days of competition, the Presidents Cup begins with one session on Thursday and one session on Friday before ramping up play over the weekend. Golfers from the United States and the International Teams will compete in four-ball (best ball) on Thursday as selected by the home captain. On Friday, the teams will transition to foursomes (alternate shot). The busiest day comes on Saturday as a morning session of four-ball will be followed by an afternoon session of foursomes, setting the table for Sunday, which will consist of 12 one-on-one singles matches.

Below we break down each type of match you will see this week.

Four-ball:  Two-man teams representing each side square off against one another. Each of the four golfers plays their own ball, and the lowest score between the two players for each team counts for the hole. The two scores not chosen get thrown out.

Foursomes:  Two-man teams representing each side square off against one another. However, the golfers must alternate hitting the same ball until it is holed. For example: If Player A hits the tee shot on No. 1, that means he will hit all the tee shots on odd-numbered holes and approach shots on even-numbered holes. Player B will tee off on all the even-numbered holes and hit approach shots on odd-numbered holes.  There is more strategy involved here, as the player teeing off on the odd holes will strike the tee shots on all four par 3s and the second shots into both par 5s at Royal Montreal.

Singles:  Only played in Sunday's final round. Singles consist of 12 one-on-one matches played over the course of the day.

2024 Presidents Cup scoring

Event:  Each match is worth 1 point. Matches ending in a tie result in each side receiving 0.5 points. The first team to reach 15.5 points over the three days of play wins the Presidents Cup. If the 30 matches end in a 15-15 tie, both teams will share the Presidents Cup.

Matches:  Each hole is scored independently with the lowest score winning. If both teams or players have the same score on a hole, the hole is considered tied with no advantage awarded.

As the teams or players advance through the round, points can be accrued or subtracted from the match total.  For example: If Team/Player A wins the first two holes, they would hold a 2 UP lead. If Team/Player B then wins the third hole, Team/Player A's lead reduces to 1 UP.

Matches can end early if the winning team or player has a larger lead than there are holes left to play.  For example: If Team A is 4 UP with three holes remaining, it wins the match 4&3.

Concessions:  Unlike stroke-play golf, teams or players do not need to complete each hole. Strokes (usually putts) may be conceded through sportsmanship if they are deemed highly makable or if attempting the stroke will not result in winning or tying the hole.

Major League Baseball and the Texas Rangers on Monday announced the 2024 All-Star Week schedule of fan events taking place in Arlington, Fort Worth and the North Texas region from Friday, July 12 – Tuesday, July 16. The 94th Midsummer Classic will be played at Globe Life Field on Tuesday, July 16, marking the second All-Star Game to be hosted by the Rangers following the 1995 All-Star Game at The Ballpark in Arlington.

Globe Life Field Events

In addition to the All-Star Game presented by Mastercard, Globe Life Field in the heart of the Arlington Entertainment District will host the HBCU Swingman Classic presented by T-Mobile & powered by the MLB-MLBPA Youth Development Foundation (YDF) on Friday, July 12, the All-Star Futures Game and All-Star Celebrity Softball on All-Star Saturday on July 13, as well as the T-Mobile Home Run Derby on Gatorade All-Star Workout Day on Monday, July 15. Tickets to the HBCU Swingman Classic, an All-Star Week experience for baseball student-athletes from Division-I programs at Historically Black Colleges & Universities (HBCU), are available here . The HBCU Swingman Classic highlights the history and legacy of HBCU baseball programs while also providing HBCU baseball players with the opportunity to showcase their talent on a national stage.

Capital One All-Star Village

MLB’s marquee fan festival, Capital One All-Star Village, will welcome fans from around the world for four days from Saturday, July 13 – Tuesday, July 16. For the first time, All-Star Village, which includes the youth participation-focused Capital One PLAY BALL PARK, will take place in a former Major League Ballpark – Choctaw Stadium. All-Star Village will also encompass Esports Stadium and the North Lawn to create a uniquely one-of-a-kind baseball theme park in the heart of the Arlington Entertainment District. More details on specific activations and legendary players attending All-Star Village will be announced at a later date, as will ticket availability.

For the fourth consecutive year, the MLB Draft will also take place during All-Star Week. The opening night of the Draft will take place on Sunday, July 14 at the historic Cowtown Coliseum in the heart of Fort Worth Stockyards and be open to the public. After opening night, the remainder of the Draft will take place Monday, July 15 and Tuesday, July 16. Further information including attendees, broadcast information, timing and ticketing will be announced at a later date.

Youth Baseball & Softball Tournaments

Two hallmark MLB youth tournaments, the All-Star Commissioner’s Cup and Jennie Finch Classic presented by ARM & HAMMMER, will be played at the Texas Rangers MLB Youth Academy in Dallas from Friday, July 12 – Monday, July 15. The All-Star Commissioner’s Cup features teams of youth baseball players (ages 17 and under) from MLB Youth Academies from around the country and in Puerto Rico. The All-Star Jennie Finch Classic, named after the legendary Olympic Gold Medal Winning softball player and MLB Youth Softball Ambassador, features teams of youth softball players (ages 17 and under) from MLB Youth Academies and Jennie Finch softball programming.

All-Star Red Carpet Show

The All-Star Red Carpet Show, where MLB All-Stars showcase their personal style and greet the worldwide media with their families, will again take place prior to the All-Star Game on Tuesday, July 16.
