A military to civilian resume is a formal document that showcases and highlights relevant , transferable military experience to civilian jobs. Like a traditional resume, it serves as a marketing tool that “sells” your skills to help land an interview.
Years ago, federal resumes were 5+ page documents of lengthy job descriptions to try and match every keyword in their systems. Federal hiring managers were inundated with candidates applying with these lengthy “resumes” that included every job description and KSAs possible, but it did not show any true value the candidate brought. As a result, most federal hiring authorities shun these types of resumes.
Today federal resumes (like civilian resumes) are two-page documents that need to clearly showcase your skills, qualifications, experience, and the value you bring. Hiring managers spend under 10-seconds reviewing resumes and it is essential to be clear and concise.
The main thing is to ensure that you meet all the required experience, qualifications, and eligibility requirements for the position, which your master resume should already include. You can also attach additional documents that relate to all the qualifications that are specific to each role that may not be listed in your resume.

5 Key Military Resume Elements

Because the military speaks its own language, the success of landing an interview with a civilian employer lies in translating your military skills to civilian terms.
Common mistakes we see in our free resume review include the following:
- Formatting issues
Simply including your job specialty in your service, a list of tactical trainings, courses, medals, ribbons, awards, and every one of your accomplishments, will not be easily understood by a corporate recruiter or anyone in human resources that does not have any relation to the military.
Depending on your job title in the military, writing and formatting documents wasn’t a part of your day to day duties. Sometimes, you need some assistance in the execution department. No worries, we’ve got you covered.

2. Use Military Performance Evaluation Information
Begin your resume writing process by using your military performance evaluation information.
While your performance evaluations are great tools to start with, the evaluations are not structured in a way that allows you to copy and paste the information and apply it to your resume.
Copying and pasting the information does not help tailor your resume to the job you’re applying for. These evaluations were written to speak to a specific audience – the military audience.
If you’re attempting to showcase your achievements with merely a list of military terms and phrases, hiring managers will not be able to relate.
Your performance evaluation is the link to building a military to civilian resume, it’s not the resume. Remember, translating your military experience is a must.
3. Translate Military Experience
When you’re a veteran transitioning back into the civilian sector, translating your military experience to civilian terms is the most important steps in building your resume.
Each branch of the military speaks its own language and dialect. For example, the unique jargon an Airman may use in the Air Force is confusing for an Army Soldier.
Now, let’s apply this same concept to the civilian side.
Your job as the applicant is to make the hiring process easy for your potential hiring authority, the organization, as well as yourself.
Therefore, you should not write your resume in Army, Navy, Airforce, Marines, or Coast Guard language.
Keep in mind, translating the experience is not the same as rewording your past experience. Start by thinking about:
- Your chosen career path
- The sector you’re seeking to work in
- Your experiences outside of the military

4. Make it no More Than Two Pages
Transitioning service members and veterans should have their resume be a maximum of two pages. Over the past decade, resumes have dwindled down from the lengthy 5+ pages to simply no more than two pages.
LinkedIn conducted a study a few years back showing that a hiring manager spends 6 seconds looking at a resume.
Ladders, another highly credible job information source, suggests that your resume has 6 seconds to make an impression on a recruiter.
For this reason, your resume should be clear, concise, and direct, without fluff. Believe it or not, the necessary, relevant information you need to show you’re the best candidate can fit on two pages.
If you were the recruiter, would you have time to thumb through or scroll through 5+ pages of experience especially considering you receive hundreds of resumes for the position? Most likely you wouldn’t. Never forget that you only have 6 seconds to stand out and be seen.
Whatever information that does not make it to your resume, include it within your LinkedIn profile. Doing so can provide further insight into who you are and other interests you have.
After creating the resume with the rules mentioned above, the final rule that remains is keeping your resume updated.
5. Keep Updating It
Creating your resume is a huge relief off your shoulders. But the real work of updating the resume never ends.
Your resume is a living, breathing document that will follow you throughout your professional life and it requires you take action to maintain it.
Maintaining your resume is important because job security does not exist, and change is a necessary constant in life.
The average person changes jobs an average of 12 times throughout his or her career. You may not see it now, but you will have job changes throughout your career.
You may work for different companies, or one day you’ll wake up and decide to start a veteran-owned business.
Keeping your resume updated is a way of honoring yourself and being prepared for the opportunities coming your way!
Military Resume Writing Tips
Below are some resume building tips to help you effectively apply for civilian jobs with your military background. It’s helpful for your resume to contain the following:
- Contact information . Your name, phone number, email, and public LinkedIn URL. If you don’t have a LinkedIn profile, here’s how to create a veteran LinkedIn.
- Resume title . The resume title belongs at the top of the page. This is a job title that coincides with your skillset. For example, Program Manager, Cybersecurity Manager, Project Engineer, Administrative Manager, etc.
- Civilian equivalent . Be sure to translate your military experience into civilian terms. This includes any job titles and skills. Doing so makes it easy for those with no affiliation with the military to understand.
For instance, an MP or Military Police can translate those skills for positions in law enforcement or security. Civilian equivalents can be criminal investigator, detective, or public safety officer. Listing “First Sergeant” for example makes no sense to civilian recruiters, even though it’s clearly understood among military personnel.
- Value added achievements . These specific achievements are distinguished from the job responsibilities and are the most important aspect of any resume . The best way to differentiate yourself from the rest of the pack is to use the quality and quantity method.
You want to identify achievements, not responsibilities, that you can measure qualitatively and quantitatively. The strongest achievements will describe how what you did impacted the team, department, or company. Bottom line is that the strongest achievements will show how you saved money, increased efficiency, successfully lead a project to fruition and its impact, etc.
- Limited experience . In life we say we don’t want to limit ourselves. But in building an effective military resume, you want to limit your experience. No more than two pages, remember? Resist the urge to tell the hiring authority everything about your professional experience. The goal is to target the job you’re applying for and the company. So, don’t go back more than 10 to 15 years of experience in your resume.
Any experience beyond 15 years puts you at risk of age discrimination. If necessary, one way to include your extensive experience that spans more than 10 to 15 years is by adding a section titled “Additional Experience” and including the job titles and companies without the dates.
- Outline your civilian education and relevant certifications . Any degrees or civilian education you’ve received during your time of service will help you stand out to a hiring manager. Certifications impress recruiters and hiring managers, so long as they are relevant to the job you’re seeking.
- No military training . Here’s relevancy again. Do not include military training on your resume unless it’s directly relevant to the job you’re seeking. Medals and awards are acceptable if they make sense in the civilian world. For example, “Won Achievement Award for saving the department $50K monthly by negotiating rates with vendors.” As opposed to “Airmen Basic School,” where it means nothing to civilian recruiters.
The military to civilian resume is a living, breathing document that will follow you throughout your professional life as a military veteran and requires maintenance. Therefore, you must continually update it because an updated resume opens the door for opportunity when it knocks.
