1. Visit ChatGPT

To get started, visit ChatGPT's website. Signing in is optional but grants you extra perks, such as using the chat history feature to review your responses later. If you don't have an account, you can create one or sign in using your existing Google or Microsoft account. 

If you haven't created an account, click on Sign up. Otherwise, log in with your OpenAI credentials.

2. Ask ChatGPT to write you a cover letter

To have ChatGPT generate a cover letter for you, all you have to do is ask ChatGPT to write a cover letter for the role and company of your choice. You should also include details about the experiences you want the cover letter to highlight.

For example, a possible input would be, "Can you write me a cover letter for the role of Associate Editor at ZDNET? I graduated from the University of North Carolina, majored in Journalism, and love technology."  

That is only a general example; you can be as specific or general as you want. However, the more direction you give ChatGPT, the better your output will be.

If you want your cover letter to be tailored to the exact role you are applying for, you can copy and paste the job description into ChatGPT before asking it to write your cover letter. This method is by far the most efficient approach to getting your cover letter written in a way that reflects the exact role and duties.

As before, you also can include details about your own experience you'd like to include. Your prompt could look something like this, "Can you write me a cover letter for the position of [role title] at [employer]? This is the job description: XYZ. For context, I [include experiences you'd like to highlight]."

4. Co-edit your cover letter

Despite ChatGPT's best efforts and advanced capabilities, there might be something you want to tweak in the letter. If that's the case, it's super simple to change something. All you have to do is ask ChatGPT to tweak a specific aspect of your letter, and it will.

For example, following the cover letter generated above, you could say, "Can you emphasize my passion for tech a bit more?" You can see how I used this approach in the illustration, below.

Next, you need to tell the AI chatbot a little about yourself. Input your contact information, your education history, and other skills from your resume or CV that you feel pertain to the position you’re applying for. You can even add your resume to the prompt to give the chatbot additional details. That way it uses as much information as possible.

Once you add everything you need, your prompt might look like this:

Here's a step-by-step guide on how to get AI to write you a great cover letter that doesn't sound AI-generated. 

Learn the basics

ChatGPT works best with specific directions, so learn what makes a good cover letter before directing ChatGPT to write one. 

Isimemen Aladejobi, a career strategist, outlines three components of an effective cover letter. 

•  A strong introduction that demonstrates company or industry knowledge. Highlight something in the news that's relevant to your prospective department. Use this topical event to segue into why you're interested in this specific position.  Aladejobi recommends always referring to the job title and company by name.
• The body of the cover letter should convey why your skills and experience make you a perfect fit. Highlight what you brought to the table at your last job and connect it to the requirements of the role you're applying for. Even suggest initiatives you could start at the company.
• The sign-off should be simple. Aladejobi suggests, "I'm excited and looking forward to hearing from you," which she says demonstrates enthusiasm without being too wordy. 

With this in mind, you can now start prompting ChatGPT with confidence. 

Writing your cover letter in ChatGPT-4

Be aware of the token limit.

The token limit is ChatGPT's limit on recall and comprehension during a single session. ChatGPT has a token limit of 4,096, and according to OpenAI , 100 tokens are about 75 words.

If ChatGPT starts responding to prompts illogically, you've probably hit the limit. This message to help ChatGPT refocus:

" Please search this chat for the word strawberry and reread that message and provide me a summary of what you think we need to do. We're at step [#] of that message. Tell me if you want a recap of the previous steps, and I'll provide a summary. "

Step 1: Onboard ChatGPT to the task

ChatGPT needs very explicit instructions to complete tasks successfully. Below is the exact prompt to copy and paste into the chatbot.

If we exceed your token limit, let's use "strawberry" as our focus word so you can get reoriented. 

Please begin by summarizing what you think I want you to do."

If you're making a pivot in your career, remove this line from the prompt: " I have [#] years of experience ," and replace it with " I'm making a career transition from [industry] to [industry] so the cover letter needs to heavily showcase how my previous experience is an asset to [Company]. "

And add this to the first task: "Make another question about how I think my previous experience is an asset to this new industry."

Step 2: Check for understanding

ChatGPT should create a summary of this plan. Check that the summary is accurate. If it is, reply with " next step " or " yes ."

Step 3: Answer the career questions and have ChatGPT generate a career summary

The bot should provide you with the 15 career questions. Each answer should be two or three sentences long. You can go over for one or two questions, but be wary of potentially hitting the token limit. 

Once you've answered all the questions, add this sentence and press enter:

" Please create a detailed summary of my responses that I can paste into ChatGPT so I don't have to answer all these questions again if I need to generate another cover letter. "

Copy and paste the summary into another document to use for other applications. 

Step 4: Input no more than 2,500 characters of the job description

It will generate a first draft but probably won't be ready for use yet. It's your job now to go back in and revise using specific instructions.

For example, I felt that the third paragraph ChatGPT generated was weak.

Direct it with specific changes to adjust particular paragraphs and go back and forth for a few rounds until you're happy.

And it generated a much stronger attempt.

Step 7: Put it into a text editor

ChatGPT has a suboptimal understanding of grammar and syntax. Once you're happy with the content, put your text through Grammarly to help tighten up the language and avoid problems like using the passive voice.

Step 8: Rinse and repeat with modifications

You can use the same root prompt for future cover letters, but replace step one with this:

"I'm going to paste in a summary of my work experience. Please write me a three-sentence summary of what type of work I do and what you see as my top accomplishment so I can check for understanding."

Write a cover letter based on the RESUME, tailored to the JOB DESCRIPTION and COMPANY. Identify ways in which I specifically meet the requirements, have experience with the responsibilities, and will fit the company culture.

• Use quotation marks at the start and end of the command to tell ChatGPT that everything inside them is your request
• Use ALL CAPS for variables that you’ll fill in later (that’s the next step!)

Step Two: Fill in the variables

Now we need to define everything we put in capital letters. Add a line break (you’ll want to do this every time) and then type:

After this header, copy in your resume or a plain text version of your accomplishments and qualifications. There’s no need to reformat your resume, even if this section looks strange — ChatGPT will still be able to read it.

Add another line break, and then type:

AI makes the procedure quicker, turning you into an editor instead of a writer. If prompted correctly, it can do most of the work and leave you to focus on the final touches.

However, it’s not without flaws.

Trusting ChatGPT too much can end badly. Without editing, the cover letter still reads like AI, which many employers may not be happy about.

ChatGPT also has a certain token limit, much lower in the free version, which means it’ll lose track of the conversation at some point. In lengthier exchanges, this can make it difficult to write a cover letter that’s useful.

The way to use this tool to your advantage without falling into any traps is to utilize it but not depend on it. Treat it as a burst of inspiration, a guide, and a foundation that you’ll then tailor to match your exact needs.

By this point, you’re nothing short of a ChatGPT whiz and a cover letter-writing expert. Still, there’s always more to learn, so here are three tips to follow religiously during this whole process.

• Feed ChatGPT as much information as possible, and then, feed it some more. Details about you and the company will help it craft a tailored cover letter . Don’t forget to add metrics, and double-check that any metrics suggested by ChatGPT align with your actual work experience .
• Control the language used by ChatGPT and tweak it to make it less stiff. You want to be formal but with minimal fluff and a natural tone of voice.
• Give detailed instructions about the length of sentences and paragraphs. You may have to repeat this with multiple prompts. ChatGPT can get pretty chatty. Avoid giving directions about the number of words. While your cover letter should be at around 350 words at most, ChatGPT rarely knows how to follow this. Instead, talk about paragraph and sentence length.

ChatGPT is an excellent tool for writing a cover letter , but it can’t do it all on its own. You can get the best results by using it as a base for your own voice, flair, and expertise. Cover letters written purely by ChatGPT with minimal human input are generic and ineffective

Start by describing your work experience and skills, and be specific. Next, talk about the company, its projects, mission, and industry. Include the entire job description. Such a prompt gives you the first draft of a cover letter, which you will then need to enhance with follow-up prompts.

The best AI cover letter generator is one that requires minimum effort but still produces great results. Supplying it with your resume and with the job description gets you a cover letter without any extra prompts. From there, you can make edits as needed, with or without the help of ChatGPT.

Be direct in your requests and supply the AI with plenty of useful information about you and the job. A good starting prompt is as follows: “Write a cover letter for the role of [insert job here]. I’m a [your current job] with [X] years of experience. My career highlights include: [insert 3-5 work experience bullet points with metrics here], and my skills are [3-5 skills]. Consider the job description and make connections to the company throughout. The job description is: [insert the entire job listing].”

2023 is the year of the rabbit and, unless you’ve been living under a rock since last November, you’ll know that it’s also the year of ChatGPT. This artificial intelligence tool is revolutionizing the digital ecosystem. With impressive capabilities in code debugging, text summarization, and—you guessed it—writing, the tool has taken the world by storm. So, it was only a matter of time before job hunters figured out a way to use it: writing cover letters. But is this the answer to all your cover letter woes?

To answer this question, we put ChatGPT to the test by creating two sample cover letters and having them reviewed by Senior Talent Acquisition Specialist, Paige Poole. Based in Austin, Poole is a seasoned cover letter expert. She shares her insights, doubts, and advice for job hunters using ChatGPT in the application process.

How does ChatGPT work?

ChatGPT, or Generative Pre-trained Transformer, is a large language model developed by OpenAI that can understand and generate text. The model is trained on a huge amount of text data and can be used to generate a variety of formats, including cover letters for job applications.

Users can input a text prompt into the tool and receive a response within seconds. With a tool like this at free disposition, it’s no wonder people are starting to investigate its usability on the job hunt. But beware—there are precautions to take when using it and limits to be aware of.

Are AI-generated cover letters good?

To test the quality of cover letters written by ChatGPT, we provided two prompts to the tool. The first was a simple one-line instruction asking for a sample cover letter for a job in a specific location, and the second included a real job description. Here’s what we got:

When provided with a simple prompt asking for “ a sample cover letter for a 24-year-old job hunter in New York City looking for a role as a social media manager,” this was the output received:

Dear Hiring Manager,

I am writing to express my interest in the Social Media Manager position at your company. As a 24-year-old job hunter, I am eager to bring my skills and experience to your organization and help connect with your target audience through social media platforms.

I have several years of experience in social media marketing, having worked for several small businesses as a freelance social media manager and a social media specialist in a marketing agency. I have a proven track record of creating and implementing effective social media strategies, managing accounts, and conducting analytics to measure the success of campaigns. Additionally, I am well-versed in various social media platforms, including Facebook, Instagram, Twitter, and LinkedIn, and I am always up-to-date with the latest trends and best practices in social media.

I am also a creative individual with a passion for developing visually appealing content that resonates with the target audience. I am skilled in using design tools such as Adobe Photoshop, Canva, and Illustrator, and I am confident that I can bring a fresh perspective to your social media efforts.

When provided with the same prompt plus a link to a real job description, this is the cover letter produced by ChatGPT:

I am writing to express my interest in the Social Media Manager position at your company. As a 24-year-old with a Bachelor’s degree in Digital Media and 3-5 years of experience in digital and social media marketing, I believe I am a strong fit for this role.

In my previous experience working with an established agency, I have developed and implemented specific client’s social media strategy, with a focus on presence within social media and ensuring a consistent voice across different channels. I am proactive, solutions-oriented, adaptable to change, strategic, data-driven, and technologically savvy, with an expansive knowledge of and interest in the ever-changing marketing and social media landscape. Additionally, I have a strong eye for compelling creative and trends.

I am excited about the opportunity to take on the key responsibilities of this role, including day-to-day supervision and execution of client campaigns, support account leads and develop and manage initiatives in the digital space, monitoring and benchmarking social media activities of other competing brands, identifying and tracking emerging trends, and developing social media strategies and calendars.

Can a recruiter tell if your cover letter was written by an AI tool?

The short answer is yes. Poole says that oftentimes, the lack of personalization is visible from the get go: “When someone has really technical words in there, really broad statements, really general statements, that’s typically how I can tell that it’s not written by them.” So what does a talent acquisition manager think about these AI-generated cover letters?

Structurally sound but qualitatively questionable

While the overall structure of the cover letter looks promising, when analyzed by Poole, she noticed some immediate red flags. “You can definitely tell it’s generic,”_ she says. One phrase that stood out to Poole was, “I’ve worked for several small businesses.” This kind of general statement doesn’t give any personality to the paragraph.

Additionally, Poole highlights the social media element of the letter. “The promt didn’t mention any social media platforms,” she says. However, the response provided lists a range of platforms the applicant is supposedly “well-versed in.” Using this exact response could cause issues for the applicant* as, “that might not be true that they have this experience,” says Poole.

While the letter is fairly well written and looks the part, the truth is that the information it states didn’t come from the prompt, and therefore is presumptuous and maybe even false. Relying on the tool to explain your experiences can be risky and cause problems further down the road in the recruitment should your application be succesful. Poole gives the example: “If you get to the interview and you’re actually talking about these things and the recruiter says, ‘Okay, so you’re really good at Photoshop. Show me something that you’ve done.’ You won’t be able to if you’ve never used Photoshop in your life!”

Finally, Poole shares that the closing lines of the AI-generated cover letters sound too generic. According to Poole, the line, “I am confident that I can bring a fresh perspective to your social media efforts,” doesn’t make your intententions clear enough: “It doesn’t say why or what that perspective is.” Overall, the motivation of the applicant does not come across as genuine, and Poole says it would be important to reword certain aspects of the cover letter, especially when mentioning how you want to help the team achieve its goals. “I think in a great cover letter, you would want to actually mention what your goals are.”

Context helps, to a certain extent

While the second letter was a little more fine-tuned and related back to the specific job description in question, Poole still isn’t convinced it would be a useable option for an applicant. “One thing that like immediately stuck out to me was in the beginning where it says ‘I have three to five years of experience in digital social media marketing.’ Obviously, you yourself would put the exact year and not the range of years.”

Despite the tool being provided with additional data for this letter, Poole admits she would immediately have been able to identify this as not being written by the applicant themselves. “Without even reading the job description, I could probably tell you exactly what the job description says because every single thing that was in it is so clearly in here,” she says. While it’s important to relay your skills and experience back to the job description in question, Poole insists that you remain truthful and don’t copy word for word what’s written in the ad. The recruiter who receives your application will likely know the wording of the job description by heart, so any exact replicas presented in a cover letter will stand out—and not in a good way.

Benefits of using ChatGPT to write a cover letter

Of course, a data model is only going to be as good as the data it’s fed with. So while these cover letters are good examples of what the tool is capable of, it’s important to note that the more information you include in your prompt, the more chances you give the tool of producing something of quality. ChatGPT is a revolutionary tool and that cannot be denied, so what are some potential benefits to job hunters using it to write their cover letters?

Source of inspiration

We all know the feeling of staring at a blank page, not knowing where to begin with a cover letter. ChatGPT can help release this writer’s block. “I think the best way is to use it to give yourself ideas, to see examples,” Poole says. By testing a few different prompts and comparing what you see, you can “take a little bit from each one.”

Time-saving

The sample cover letters shared above were generated in a matter of seconds. And while Poole advises not to take the first output and submit it directly to a job ad, there’s no hiding the fact that it’s a huge time saver when it comes to writing your cover letter . Even if you use the output solely for its structure, you’re already saving that time.

Grammar and spelling checking

What’s a better way to throw an application out the window than careless spelling and grammar mistakes? By using ChatGPT to generate or inspire your cover letter, you can avoid silly mistakes and ensure a professional-sounding cover letter. This can be especially useful for first-time applicants or job hunters who may be less confident in their writing skills.

Drawbacks of using ChatGPT to write a cover letter

ChatGPT remains a tool and no matter how well trained the model is, the likelihood of it providing you with an application-ready cover letter is low (for now, anyway). However, if you would like to test it out and see if it ChatGPT can help you in your job search, here are some things to be aware of before using it.

Lack of originality and personalization

One of Poole’s biggest tips for writing cover letters is to write as you would speak. “If you’re writing it in a very professional kind of buttoned-up way and then you get to the interview and you’re very casual, they’re going to immediately know that you did not write that,” she explains. So if you’re relying on a tool to get your application picked up, you should know that it probably won’t sound like you. In fact, you could end up with a cover letter similar to the thousands of generic templates that exist online.

Short-term solution

ChatGPT gives you a quick fix to an essential part of the recruitment process : researching and reflecting on the job and your experience . While it may provide you with a fast solution to help you send an application quickly, Poole says it won’t serve you in the long run. If your AI-generated cover letter does manage to land you an interview , “once you’re there, ChatGPT can’t help you,” Poole warns. All that research and preparation you skipped out on will hurt you.

Dependence on data

ChatGPT is only as good as the data it’s trained on and it may not have the most up-to-date information about the job you’re applying to. This can result in cover letters that are not tailored to the most recent job requirements or company values. Additionally, if—like in the example above—you include minimal information in your prompt, the quality of the results will vary.

Should you use ChatGPT to write a cover letter?

Overall, Poole’s advice is to use ChatGPT as a tool. If you’re lacking inspiration or don’t know where to start with your cover letter, then you can absolutely use it to get your creative cogs turning. “It still provides a great template to use and adjust, and you can make it personal from there.” It’s no secret that cover letter templates are widely used—and widely discourage —and using an AI tool to write your cover letter is not dissimilar to using a copy-paste template you can find online. The advantage though is that you can really tailor the cover letter it generates to make it very personal and relevant to your profile and the job you’re applying to. Additionally, it can be useful to young workers and college graduates when learning the ropes of the job hunt. “It can help you understand more about what a cover letter should look like by seeing all the different kinds of ways that you could do it,” Poole says.

If you’re thinking of relying solely on ChatGPT to get you a job, think again. As advanced as the program may be, putting the fate of your career in the hands of an automated text generator is risky business. “I think that it will definitely hurt your job search because you’re not learning about the company and you’re not really having to do that critical thinking yourself of, ‘How does my experience actually translate to this position?’” Poole shares.

In summary, ChatGPT can be a useful tool for job hunters looking to save time, get inspired, and ensure a professional-sounding document. However, it’s important to keep in mind that ChatGPT may not be entirely original, may not fully understand the nuances of the job or company, and may not have the most up-to-date relevant information. While AI text generators can be a valuable tool for job hunters, they shouldn’t be relied upon exclusively to generate a final cover letter. Ultimately the job hunter should take the final responsibility to ensure that their cover letter is tailored to the specific job and company, and that it accurately reflects their own skills and experiences.

You’ve probably heard of ChatGPT, the AI-powered app that is revolutionising the world and changing how the world interacts. In fact, you might be wondering if ChatGPT is the perfect solution to writing a winning university application cover letter.

Yes, the OpenAI chatbot seems to have infinite potential to solve any writing challenge on Earth. However, should you take chances on your entire academic and professional future with this shortcut?

It might seem like a no-brainer to breeze through your university admissions using a chatbot that provides seemingly complex and sophisticated answers to simple questions. Why spend days writing an academic essay when it can be done within minutes, and all without grammatical errors?

But the stakes are high. In this article, we are going to highlight some crucial points to consider before you use ChatGPT to write your university application letter, or even during the rest of your university studies after getting in.

One downside of using the chatbot is that you will not just be technically cheating the university, but also yourself.

The University of Oxford defines plagiarism as “presenting someone else’s work, with or without their consent, as your own without full acknowledgement.”

And since ChatGPT isn’t a living breathing human being, one could argue using the chatbot is perfectly fair game, based on certain definitions. However, there are reports that a growing number of universities are rethinking the idea of plagiarism which could eventually lead to including ChatGPT as a tool for ‘cheating’.

However, as you’ll quickly realise, ChatGPT is more of an AI that consolidates existing information online (up to 2021) and doesn’t exactly produce true inspiration or motivation to help you in your application writing.

To prove a point, we gave ChatGPT the following prompt: "Write for me a university cover letter for a student in Indonesia who wants to pursue an electrical engineering undergraduate degree at the University of Sheffield in the UK.” 

We can see that the letter is written in a very mechanical way, as if it were adapted from a template. The generic terms used, placements and even sentence constructs might betray the fact that it was written by AI. Just imagine the university receiving similar copies of this cover letter submitted by multiple applicants!

Not only does it come off as cookie-cutter, any personality or uniqueness to you is non-existent. It also shows a lack of research done towards the course curriculum or the school’s specific achievements.

One concerning issue is how ChatGPT assumed that the writer was a member of a robotics club and was experienced in building electrical systems. This inventing of facts to help better fit the narrative of the application letter can be a trap for your credibility.

Because there is no connection between the real person and ChatGPT, trying to use the chatbot to write a university application letter isn’t a good idea. Worse of all, the consequences of getting caught can be severe.

It’s important to understand that ChatGPT can’t beat an education expert because it just doesn’t have the depth of experience or understand what’s on the line.

For example, education counsellors at IDP meet students through individualised sessions to fully understand their needs, achievements and future plans. Plus, all this is done at the student’s convenience, at no cost. In fact, you might even enjoy having some fees waived in the application process.

If that still doesn’t deter you, consider the real risks of getting caught using ChatGPT!

Firstly, your application would likely be rejected and you could be blacklisted throughout the university for future applications. This might make any future attempts of getting in exponentially harder, if not impossible.

Secondly, you could enter a common database and be flagged for ‘cheating’. This could indeed affect any future application chances if your particulars are double-checked against this database.

Thirdly, tools are being developed and refined to detect AI-written essays and they could retrospectively be used by universities to analyse your old application cover letter. If caught, this could result in serious penalties or even expulsion from your course.

The reward just isn’t worth the risk.
